Overview

Join our dynamic team as a Training Centre Administrator, where your energy and organisational skills will drive the success of our training programs. In this pivotal role, you will coordinate training activities, manage learning resources, and support both trainers and learners to ensure a seamless educational experience. Your proactive approach will foster an engaging learning environment that empowers employees and enhances their professional development. Duties

Complete all administrative tasks to a high standard and within agreed timescales.
Maintain a polite, helpful and professional manner when liaising with learners, employers and colleagues.
Adopt a proactive, ‘can-do’ approach and provide regular updates on workload and deadlines.
Answer telephone enquiries, transfer calls as required and take accurate messages.
Manage course enquiries, bookings and follow-ups, ensuring all required information is received.
Register learners on the 'Walled Garden' platform, book exams, email booking forms and course details.
Maintain accurate learner records and update customer databases.
Enter information into Excel spreadsheets and create new spreadsheets and timetables when required.
Update the business website and social media pages with relevant content.
Support marketing activities, events and promotional campaigns.
Co-ordinate NVQ assessments and liaise with learners and assessors.
Take minutes during meetings and distribute them appropriately.
Assist with bookkeeping tasks including creating invoices and organising financial documents.
Print, prepare and manage course literature and centre resources.
Order office stationery and workshop materials as required.
Maintain GDPR compliance and uphold safeguarding responsibilities at all times.
Undertake internal and external training, CPD and development activities.
Coordinate scheduling of training sessions and workshops.
Track attendance, evaluate training effectiveness, and prepare reports to inform continuous improvement efforts.
Proficiency in Microsoft Office and Adobe for developing learning modules.
Excellent communication skills for clear coordination and stakeholder engagement
Presentation skills to deliver engaging materials to assist trainers during workshops.

Essential Skills

Excellent organisational and time-management skills, with the ability to manage multiple tasks, deadlines and priorities effectively.
Strong attention to detail and accuracy when maintaining learner records, spreadsheets, databases and other administrative documentation.
Confident using Microsoft Office, particularly Excel, Word and Outlook, with the ability to create and maintain spreadsheets, timetables and professional documents.
Good digital skills, with the ability to learn and confidently use online platforms and systems for learner registration, course bookings and administration.
Good written and verbal communication skills, with the ability to communicate professionally and effectively with learners, employers, trainers, assessors and colleagues.
Ability to create, update and manage content across social media and digital platforms.
Ability to produce clear, engaging and professional presentations and learning materials to support trainers during workshops.
A proactive, flexible and ‘can-do’ approach, with the ability to work independently and as part of a team.
Commitment to maintaining confidentiality, GDPR compliance and safeguarding responsibilities.
Willingness to undertake training and CPD to develop knowledge and skills relevant to the role.

Desirable

Experience using Xero or other accounting/bookkeeping software.
Experience working within a training, education or learning environment.
Knowledge of vocational qualifications, NVQs or apprenticeship administration.
Experience using learning management systems or online training platforms.
Knowledge of Google Drive, SharePoint and Dropbox.
Experience supporting marketing activities, events or promotional campaigns.
Experience managing or updating business websites.
Understanding of GDPR and safeguarding within an educational or workplace setting.
