Full job description

Overview
We are seeking a highly organised and proactive Office Administrator to join our team. The successful candidate will play a vital role in ensuring the smooth operation of daily office functions, providing administrative support, and maintaining effective communication across departments. This paid position offers an excellent opportunity for individuals with strong organisational skills and experience in office administration to contribute to a dynamic work environment.

Duties

Manage incoming calls with professional phone etiquette and direct enquiries appropriately
Organise and maintain physical and electronic filing systems for easy retrieval of documents
Perform data entry tasks accurately using Microsoft Office and Google Workspace applications
Assist with scheduling appointments, meetings, and maintaining calendars for staff members
Prepare correspondence, reports, and presentations as required
Handle invoicing and bookkeeping tasks using QuickBooks or similar accounting software
Support other administrative functions such as ordering supplies and managing office inventories
Ensure the office environment remains tidy, safe, and well-organised at all times

Skills

Proven office experience with strong organisational skills
Proficiency in computer skills including Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Gmail, Drive, Calendar)
Experience with QuickBooks or similar accounting software is desirable
Excellent typing speed and data entry accuracy
Strong administrative experience with attention to detail
Good phone etiquette with the ability to communicate clearly and professionally
Ability to multitask efficiently in a fast-paced environment
Familiarity with clerical procedures and basic bookkeeping practices
