Clinic Operations Manager

Charles Carter Clinics – Bishop’s Stortford
£30,000 + performance bonus (£1,200–£3,000 per year)

About the Role

We are looking for a proactive, organised and accountable individual to take ownership of the day-to-day running of our private physiotherapy and health clinic in Bishop’s Stortford.

This is not a standard reception or admin role. You will be responsible for ensuring the clinic runs efficiently, maintaining high standards, and driving performance across the team.

You will work closely with clinicians, manage front-of-house operations, and take ownership of key areas such as bookings, revenue, and operational processes.

Key Responsibilities

Clinic Operations

Oversee the day-to-day running of the clinic
Monitor clinician diaries and ensure gaps are actively managed
Ensure the clinic runs efficiently at all times

Front of House & Client Experience

Manage reception and client interactions
Handle incoming calls, bookings, and enquiries
Ensure a consistently high-quality, professional client experience

Finance & Admin

Manage invoicing and payment tracking
Reconcile payments using Xero
Chase unpaid invoices and ensure timely payment

Team Accountability

Ensure clinicians complete reports and maintain standards
Follow up and challenge where tasks are not completed
Maintain a high level of professionalism across the team

Performance & Growth

Identify opportunities to increase private bookings and revenue
Follow up cancellations and actively fill diary gaps
Take ownership of improving overall clinic performance

Future Progression

This role will initially focus on Bishop’s Stortford, with the opportunity to grow into a multi-clinic operations role as the business continues to expand.

What We’re Looking For

Experience in a managerial, supervisory, or senior administrative role
Highly organised with strong attention to detail
Confident communicator, able to work with both clients and clinicians
Able to take initiative and work independently
Comfortable following systems and processes
Strong sense of accountability

This role is suited to someone who:

Takes ownership of their responsibilities
Does not need to be repeatedly chased
Is comfortable holding others accountable
Wants to be involved in growing and improving a business

Bonus Structure

Monthly performance bonus based on:

Invoice recovery
Private revenue growth

Typically £200–£250 per month based on performance.
