About Us

West Sussex County Council is a diverse organisation that provides services to more than 850,000 residents every day. By providing professional business and administrative support you will be making a difference and enhancing the effectiveness of the Council.

The Shared Lives Scheme recruits individuals, couples or families who can provide family-based accommodation, care and support for adults with a learning disability and people from other vulnerable adult groups. The Scheme allows individuals to live full and independent lives and provides long and short-term care and support.

The Shared Lives team recruits, assesses, monitors, supports and trains Shared Lives Carers. They match Shared Lives Carers with the needs of the individuals referred to the Scheme. They also monitor and review the care provided by the Shared Lives Carer.

The Shared Lives Scheme is registered with the Care Quality Commission to provide regulated activities, and currently supports just over 100 people on a short- and long-term basis. The team consists of an Area Service Manager, Registered Scheme Manager, Senior Shared Lives Worker and a team of Shared Lives Workers.

About The Job

Salary: £13.68 - £13.90 per hour, depending on experience

£26,403 - £26,824 per annum full time equivalent, *pro rata £13,201.50 - £13,412

Working Pattern: Part-time, 18.5 hours per week

Contract Length: Permanent

Location: Burnside, Burgess Hill

Reporting to a Team Leader, you will provide a customer focused and efficient administrative service, prioritising your daily tasks in accordance with team requirements and service objectives.

You will be responsible for delivering a range of administrative tasks to a high standard of quality within agreed timescales. These are likely to include such tasks as organising large scale events and meetings, co-ordinating statutory panels, collating and presenting information in a clear format, preparing reports and agendas, producing accurate meeting minutes and spreadsheets, email inbox management, fulfilling statutory requests, completing complex correspondence and documentation, financial administration, and updating websites and council IT systems in order to support service delivery.

You’ll need to be able to demonstrate personal resilience, integrity and professionalism when participating in sensitive, potentially disturbing or highly confidential meetings or processes.

Experience and Skills

Key Skills:

Excellent communication skills for answering telephone, email and face-to-face queries effectively, communicating with staff and customers.

Clear and effective written communication skills to produce accurate meeting minutes, write non-standard correspondence, documentation and reports, present data and financial information, and to write and respond to emails appropriately, demonstrating accuracy and attention to detail.

Good numeracy skills in order to work with figures and data to make sound and accurate financial calculations and data collection, working methodically.

Good analytical and problem-solving skills to analyse specialist information and draw practical conclusions and appropriate actions with an understanding of relevant policies and procedures.

Ability to identify the most efficient and effective ways of working, embrace change and adapt to changing situations and new ways of working positively and effectively, including the ability to learn new systems and processes.

Excellent IT skills enabling effective daily use of office applications such as Microsoft Outlook, Teams, Word and Excel.

Qualifications and/or experience:

4 GCSEs with A-C / 4-9 passes including Maths and English, or equivalent qualification or experience demonstrating that level of numeracy and literacy.
Relevant technical knowledge of procedures and practices associated with delivering an administrative service.
Knowledge of relevant statutory requirements and processes.
Experience of working in an office environment.
Strong knowledge and technical skills in the use of major computerised systems (for example, SAP or Mosaic).
