Job Overview

We are seeking a dynamic and highly organized Executive Assistant to support our Directors in achieving their strategic goals. This vital role involves managing complex schedules, coordinating communications, and handling administrative tasks with precision and professionalism. The ideal candidate will thrive in a fast-paced environment, demonstrating exceptional organizational skills, attention to detail, and proactive problem-solving abilities. This position offers an exciting opportunity to be an integral part of a forward-thinking organization committed to excellence and growth.

Responsibilities

Manage and prioritize the Directors’ calendars, scheduling meetings, appointments, and travel arrangements efficiently.
Prepare, review, and organize correspondence, reports, and presentations using Microsoft Office and Google Workspace tools.
Handle incoming calls with professionalism, practicing excellent phone etiquette while directing inquiries appropriately.
Assist in the tasks of the directors in various areas such as sales, marketing, legal and complaisance
Coordinate logistics for meetings, conferences, and events, including venue arrangements and catering if needed.
Maintain organized filing systems—both digital and physical—to ensure quick retrieval of essential documents.
Support administrative projects by conducting research, compiling data, and preparing summaries as requested.

Qualifications

Proven administrative experience supporting executive-level staff or directors in a professional setting.
Strong organizational skills with the ability to multitask effectively under tight deadlines.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Outlook, Calendar)
Excellent data entry skills with high accuracy; typing speed should be swift and precise.
Previous office experience involving clerical tasks such as filing, correspondence management, and scheduling.
Demonstrated phone etiquette skills with a courteous and professional communication style.
Ability to adapt quickly to new tools or software as needed; strong attention to detail is essential.
Ability to oversee HR.
