Job Description – Practice Manager / Receptionist (Part-Time)

Job Title

Practice Manager / Receptionist

Location

The Footcare Clinic

Hours

3 days per week (approximately 24 hours), with flexibility to meet clinic needs.

Job Purpose

The Practice Manager / Receptionist ensures the smooth day-to-day operation of The Footcare Clinic. The role combines front-of-house patient care with responsibility for administrative systems, business support, compliance, and assisting the Clinic Director in delivering an excellent patient experience.

Key Responsibilities

Patient Reception and Customer Service

● Welcome patients in a professional, friendly manner.

● Respond promptly to calls, emails, and enquiries.

● Book, amend, and manage appointments using the clinic system.

● Handle patient queries and resolve routine issues.

● Process payments and issue receipts.

● Maintain a clean, welcoming reception and waiting area.

Practice Management

● Coordinate daily clinic operations to support efficient patient flow.

● Support the Clinic Director with operational planning and workflow.

● Monitor appointment utilisation and reduce missed appointments.

● Maintain clear communication between clinicians and patients.

● Review and improve administrative processes.

Administrative Duties

● Maintain accurate, confidential patient records.

● Prepare correspondence, referral letters, and documentation.

● Manage incoming and outgoing post.

● Maintain organised electronic and paper filing systems.

● Order supplies and monitor stock levels.

● Liaise with suppliers, contractors, and service providers.

Financial Administration

● Reconcile daily payments and maintain accurate records.

● Follow cash handling procedures.

● Assist with invoicing and outstanding balances.

● Support administrative financial reporting.

Marketing and Patient Growth

● Maintain the clinic’s website and social media presence.

● Support patient recall and appointment reminder systems.

● Encourage patient feedback and online reviews.

● Assist with marketing campaigns.

● Build relationships to encourage repeat visits and referrals.

Compliance and Quality

● Maintain confidentiality and comply with GDPR.

● Support Health and Safety compliance.

● Ensure adherence to clinic policies and procedures.

● Assist with quality assurance and governance activities.

General Responsibilities

● Maintain professionalism at all times.

● Promote a positive, patient-focused approach.

● Work collaboratively with clinicians and colleagues.

● Undertake other reasonable duties as required by the Clinic Director.

● Excellent organisational and administrative abilities.

● Competent IT skills, including Microsoft Office and practice systems.

● Reliable, trustworthy, and able to maintain confidentiality.

Desirable

● Experience in a healthcare, podiatry, dental, or medical setting.

● Experience managing reception or administrative functions.

● Knowledge of private healthcare administration.

● Experience with patient management software.

● Marketing or social media experience.
