Full job description

This is an exciting opportunity to join a brand new team within the Community Autism Service. As the Band 3 CAS Administrator, the successful candidate will play a key part in establishing the service, helping to shape both the role and the administrative processes as the team develops. The Band 3 CAS Administrator plays a pivotal role in supporting the Community Autism Service, a multidisciplinary team dedicated to providing person-centred care for autistic adults in Lambeth, Southwark, and Lewisham. Based at the Outpatient Department, Maudsley Hospital, this part-time administrator (15 hours per week) ensures the smooth running of daily operations, acting as a first point of contact for families, carers, and professionals. The post-holder manages and oversees the administrative components of the Trust patient database and actively contributes to delivering a responsive, inclusive, and high-quality service.

The position is located at the Maudsley Outpatient Department and requires in-person attendance. We are open to flexible working arrangements, such as distributing hours across several days, and will collaborate with the successful candidate to determine suitable workdays. However, it is essential that the candidate is available to work on Wednesdays.

The post-holder will be responsible for providing a proactive, comprehensive administrative service to a multi-disciplinary team, enabling the team to operate effectively and efficiently.

The administrator is often the first point of contact for families/carers and other members of the person’s network and plays an important role in ensuring a good patient experience and positive image of the service.

Managing and overseeing the administrative component of the Trust patient database, i.e. inputting referral and patient information, monitoring and updating data quality etc.

The Community Autism Service (CAS) is a new team, developed with commissioners, staff and Experts by Experience to meet a gap within service provision for autistic adults across Lambeth, Lewisham and Southwark. The CAS aims to support autistic individuals who cannot access other services such as mental health or learning disability services, but would benefit from specialist, autism focused, targeted assessment and therapeutic input.

South London and Maudsley NHS Foundation Trust (SLaM) provide the widest range of NHS mental health services in the UK as well as substance misuse services for people who are addicted to drugs and alcohol. We work closely with the Institute of Psychiatry, Psychology and Neuroscience (IoPPN), King's College London and are part of King's Health Partners Academic Health Sciences Centre. There are very few organisations in the world that have such wide-ranging capabilities working with mental illness. Our scope is unique because it is built on three major foundations: care and treatment, science and research, and training.

To act independently to ensure daily tasks and on-going workloads are prioritised and complete within agreed timescales. Manage multiple tasks within the working day whilst maintaining quality standards.

To have the ability to work in an unpredictable pattern, dealing with frequent interruptions.

Administrative Support: Provide comprehensive administrative support to the CAS team, ensuring the smooth running of daily operations, meetings, and clinical activities.

Service User Coordination: Assist with scheduling appointments, coordinating referrals, and managing waiting lists for autistic adults across Lambeth, Southwark, and Lewisham.

Record Keeping: Maintain accurate and confidential records, databases, and documentation relating to service users and team activities, adhering to data protection requirements.

Communication: Act as a first point of contact for enquiries from service users, carers, professionals, and partner agencies, providing information and signposting as appropriate. To respond to telephone enquiries from patients, family/carers and staff promptly and in a courteous and professional way, re-routing calls as appropriate. Taking clear, concise messages and dealing with general enquiries where appropriate.

Meeting Support: Arrange, prepare for, and minute team meetings, multidisciplinary case discussions, and other service activities.

Resource Management: Coordinate the management of office supplies, clinical equipment, and other resources required for community-based service delivery. Liaise with Senior Administrator to order necessary supplies.

Data Reporting: Assist with the collection, collation, and reporting of service activity data, supporting evaluation and commissioning requirements.

Support for Transitions: Facilitate administrative processes for young adults (17+) transitioning into adult services, working closely with clinicians and external partners.

Quality and Inclusion: Support service initiatives aimed at promoting health equality, independence, and inclusion for autistic adults.

Confidentiality and Safeguarding: Uphold the highest standards of confidentiality, safeguarding, and professional conduct in all interactions and record keeping.

Team Collaboration: Work collaboratively with Oxleas, SLAM, and other partner agencies, contributing to the effective delivery of Tier 2 services bridging gaps between mainstream and specialist care.

Participate in service development activities and training relevant to the role.

Health & Safety: To work closely with administrators to report any maintenance issues that may arise in the Outpatient clinic areas. To contact Trust Estates and Facilities Department to report any faults or works that need to be undertaken.

Training: To ensure all mandatory training is kept up to date and to participate in any additional training and developmental needs as required by the Business and Team Managers.

Undertake other reasonable administrative tasks as required by the CAS management team.

This role is vital in supporting the operational delivery and development of the Community Autism Service, ensuring a responsive, person-centred approach for autistic adults within South East London.
