Overview

We are seeking a highly organised and proactive Office Administrator to join our team. The successful candidate will play a vital role in maintaining smooth office operations, supporting administrative functions, and ensuring effective communication across departments and with clients. This paid position offers an excellent opportunity for individuals with strong organisational skills and experience in office administration to contribute to a dynamic work environment.

Duties

Manage day-to-day administrative tasks, including filing, data entry, and document management
Answer and direct phone calls with professional phone etiquette
Schedule appointments, meetings, and maintain calendars for staff members
Prepare correspondence and reports using Microsoft Office and Google Workspace tools
Process invoices and financial records using QuickBooks or similar accounting software
Assist with incoming enquiries and provide exceptional customer service to clients and visitors
Maintain organised electronic and physical filing systems creating O&M Manuals for projects
Support team members with various administrative projects as required

Requirements

Proven office experience or administrative experience in a professional setting
Strong computer skills, including proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace (Gmail, Docs, Sheets)
Experience with QuickBooks or similar accounting software is desirable
Excellent organisational skills with the ability to prioritise tasks effectively
Fast and accurate typing skills for data entry tasks
Good communication skills, both written and verbal, with professional phone etiquette
Attention to detail and the ability to work independently as well as part of a team
Knowledge of clerical procedures and office management systems
