Full job description

Overview
We are seeking a highly organised and proactive Office Manager to oversee daily calls and ensure all sales orders are added into ERP system. The ideal candidate will possess strong clerical and administrative skills, with a focus on usage of warehousing system and different types of ERP systems. This role requires excellent communication abilities and proficiency , able to learn several ERP systems including Microsoft Word and Excel, as well as a commitment to fostering a positive work environment.

Duties

Answer incoming telephone calls and respond to customers queries in a professional and friendly manner
Engage with customers to understand their requirements and recommend suitable products
Process sales orders received via telephone and email with accuracy and efficiency using the in-house stock system
Log and co-ordinate maintenance call-outs to engineer team
Communicate effectively with team members to ensure seamless operations
Routing order on ERP system
Placing purchase orders
Assist in managing inventory levels and conducting stock checks as required
Provide general administrative support to the sales and operations teams
Take payments on card readers and cash
Complete orders in warehouse ERP, check them accounting ERP system, if needed correct them and sent to customers
Take full care of office management and system management, effective suggestions about system efficiency
Being initiative and a YES person is well acknowledged
Responsibility into ensuring the office is well stocked in terms of stationary, and other services

Qualifications

Proven experience in an administrative role.
Strong organisational skills with the ability to prioritise tasks effectively.
Excellent communication skills, both written and verbal.
Experience with accounting software and ERP warehousing systems is highly desirable.
Proficient in standard office software applications (e.g., Microsoft Office Suite).
A keen eye for detail with strong clerical skills to maintain accurate records.
