Full job description

Role Overview:

A self-employed Lettings Property Inventory Clerk is responsible for independently conducting detailed property inspections and producing accurate inventory reports for residential rental properties. These reports document the condition and contents of a property at key stages of a tenancy, helping to ensure transparency and support dispute resolution between landlords and tenants.

Key Responsibilities:

Conduct detailed inventory check-ins, documenting the condition, cleanliness, and contents of a property before a tenancy begins
Perform check-out inspections, comparing the property’s condition against the original inventory
Carry out mid-term inspections where required
Compile clear, thorough, and unbiased inventory reports, including written descriptions and photographic evidence
Record meter readings and ensure keys are accounted for
Identify and report maintenance issues or damages
Ensure reports are completed and delivered within agreed timeframes
Maintain impartiality at all times between landlords, tenants, and letting agents
Manage own schedule, appointments, and travel between properties

Key Skills & Requirements:

Previous experience as property inventory clerk
Strong attention to detail and observational skills
Excellent written English and report-writing ability
Good organisational and time management skills
Ability to work independently and manage a flexible workload
Basic knowledge of property standards and lettings processes
Competence in using inventory software and mobile inspection apps
Digital photography skills (clear, accurate documentation)

Working Arrangement:

Self-employed / freelance basis
Flexible working hours, including evenings and occasional weekends
Paid per inspection/report (rates vary depending on property size and location)
Responsible for own tax, insurance (e.g. public liability, professional indemnity), and equipment

Additional Expectations:

Maintain a professional appearance and conduct when attending properties
Communicate effectively with letting agents, landlords, and tenants
Stay up to date with relevant lettings legislation and best practices
Ensure compliance with data protection and confidentiality requirements

Previous experience as property inventory clerk minimum 1 year
