Full job description

Job Description:

We are looking for an organised, commercially aware accounts & service administrator to join our team. This is a varied and important role sitting at the heart of our operations, acting as a key link between our clients, finance function and internal service teams. You will take ownership of our customers’ accounts, ensuring billing is accurate and timely, payment terms are met and client relationships are well managed.

Additionally, you may be required to help support our service team when required, liaising with both staff members and customers, completing administrative tasks as needed.

This role would suit someone who thrives in a fast-paced environment, takes pride in accuracy and is confident managing multiple priorities at once. We are a small family run business, and day to day duties are often varied, we are looking for someone who can get stuck in with different roles and responsibilities to support the business as required.

Responsibilities include:

Accounts Payable & Receivable

- Process invoices & statements through job-costing & accounts systems.

- Manage customer accounts, following up on outstanding payments.

- Process supplier invoices and manage open purchase orders with the service stores team to maintain accurate, up-to-date cash postings and financial records.

- Upload invoices, job costs and work data to client portals where required.

Bookkeeping & Records

- Maintain accurate financial records & update accounting systems.

- Record daily transactions (sales, purchases, receipts, and payments)

- Produce clear, timely reports for billing statuses and account health.

Payroll Support

- Assist in processing payroll

- Maintain employee Payment Records

- Calculate & process engineers’ timesheets

General Administration

- Maintain organised filing systems (digital and physical)

- Assist the service team if required with administrative & customer communications support.

Key Skills:

Proven experience in an account administration, service administration or client-facing office role is desirable.
Strong IT skills including Microsoft Word and Excel; experience with in-house or bespoke systems is advantageous.
Excellent communication & customer service skills.
Good initiative & flexibility.
Organised & efficient.
