Job Summary

We are seeking a dynamic and detail-oriented Administrative Assistant to join our team! In this vital role, you will be the backbone of our daily operations, ensuring smooth communication, organization, and efficiency across departments. Duties

Manage incoming calls with professionalism and courtesy, utilizing excellent phone etiquette to direct inquiries and provide information effectively
Organize and maintain files, records, and documentation using digital tools such as Google Workspace and Microsoft Office applications
Perform data entry tasks accurately, including updating databases like QuickBooks and inputting information into spreadsheets or management systems
Assist with scheduling meetings, appointments, and events, ensuring all logistics are handled efficiently
Support invoicing, billing, and expense tracking through QuickBooks or other accounting software
Prepare correspondence, reports, and presentations to facilitate internal communication and project updates
Coordinate office supplies procurement and maintain inventory to ensure operational readiness

Qualifications

Proven office experience demonstrating strong organizational skills and attention to detail
Proficiency in computer skills including Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Docs, Sheets), and data entry platforms
Previous administrative experience with clerical tasks such as filing, scheduling, and document management
Excellent phone etiquette with the ability to communicate clearly and professionally in diverse situations
Strong typing skills for efficient document creation and data input
Familiarity with QuickBooks or similar accounting software is a plus
Ability to multitask effectively while maintaining accuracy under deadlines
