Company Overview

Woking Community Transport (WCT) specializes in providing accessible transport services designed to support older adults, individuals with reduced mobility, and those with disabilities. Our services include dial-a-ride, SEND home-to-school transport, Digital Demand Responsive Transport (DDRT), and NHS transportation solutions, all committed to enhancing community mobility and independence.

Job Summary

We are looking for a highly organised, customer-focused Administration Assistant to join our team and help ensure the smooth day-to-day operation of our community transport services.

This is a varied and rewarding role combining administration, customer service, operational scheduling and record management. You will be a key point of contact for clients, volunteers, drivers and community stakeholders, while providing essential support to our management and operational teams.

About the Role

Reporting to the Finance Manager and Transport Manager, you will provide administrative and operational support across our Dial-a-Ride and Digital Demand Responsive Transport (DDRT) services.

Your responsibilities will include:

Providing general administrative support to management and operational teams.
Assisting with the planning and scheduling of daily vehicle routes using specialist scheduling systems.
Answering telephone calls, emails and face-to-face enquiries in a professional and friendly manner.
Preparing correspondence, reports and other organisational documents.
Maintaining accurate filing systems, databases and client records in line with privacy and confidentiality requirements.
Supporting data entry and record management for reporting purposes.
Assisting with staff payroll administration.
Supporting the Maintenance Manager by collating vehicle receipts and information for invoicing.
Responding quickly and effectively to operational issues and making informed decisions when required.
Working collaboratively with colleagues, drivers, volunteers and community partners.
Undertaking any other reasonable duties consistent with the role.

About You

We are looking for someone who is reliable, organised and able to manage a varied workload in a busy environment.

Essential skills and experience

Previous experience in administration, office support or customer service.
Excellent communication and customer service skills.
Strong organisational and time-management skills.
Ability to prioritise tasks and remain calm and effective under pressure.
Good working knowledge of Microsoft Office, including Word, Excel and Outlook.
Ability and willingness to learn specialist transport scheduling software.
Experience maintaining accurate records and databases.
Knowledge of Xero Accounting Software.
Strong problem-solving skills and the ability to make sensible operational decisions quickly.
Excellent attention to detail.
Ability to work effectively as part of a team.

Desirable

The following experience would be advantageous:

Good geographical knowledge of the local operating area.
Experience in transport scheduling or logistics planning.
Experience within community transport, passenger transport or public transport.
Experience using CATSS, Padam Mobility or similar scheduling software.
Knowledge of Digital Demand Responsive Transport (DDRT) operations.
A driving licence with D1 category.
