Full job description

About the Role

We are a modern law firm based in Glasgow, specialising in immigration law. We provide services to a wide range of clients throughout the UK and overseas. As we go through a period of expansion, we are seeking an Office Manager to join us in a newly created role.

Working Pattern:

This is an in person role. Hours are 9am - 5pm, Monday to Friday with an hour unpaid lunch.

Job Summary

We are seeking a proactive and dependable Office Manager. The successful candidate will ensure that the office operates efficiently, provide effective supervision to administrative staff and help maintain a professional, supportive working environment.

Duties

Ensuring the smooth and efficient running of the office’s day-to-day activities.
Managing, supervising and supporting administrative staff.
Allocating administrative work and monitoring workloads, performance and deadlines.
Managing staff holidays, sickness absences and other leave, ensuring appropriate office cover is maintained.
Maintaining accurate holiday and absence records.
Developing, implementing and maintaining office policies and administrative procedures.
Coordinating staff inductions and assisting with the onboarding of new employees.
Monitoring office systems and identifying opportunities to improve efficiency.
Ordering stationery, office supplies and equipment.
Ensuring that office equipment and facilities are properly maintained.
Assisting with record-keeping, file management and general administrative quality control.
Supporting the firm’s solicitors and management team with operational and administrative matters.
Handling sensitive information with discretion and maintaining the highest standards of client confidentiality.

Essential

Previous experience in an office management, senior administration or similar supervisory role.
Strong organisational and time-management skills.
Experience managing or supervising administrative employees.
Excellent written and verbal communication skills.
A professional, approachable and supportive management style.
Strong attention to detail and a commitment to maintaining high standards.
Confidence in implementing policies and improving administrative processes.
Good IT skills, including proficiency in Microsoft Office.
The ability to handle confidential and sensitive information appropriately.
A proactive and practical approach to resolving problems.
