About the Role

This role is suitable for someone with experience in museums, heritage, events, cultural programming, education or community engagement who enjoys turning ideas into well-organised and memorable visitor experiences.

Key Responsibilities

Event Planning: Coordinate museum events, workshops, talks, family activities and public programmes from initial concept through delivery.

Programme Development: Support the development of an annual programme of cultural and heritage activities.

Event Scheduling: Maintain clear event calendars, timelines and delivery schedules.

Public Programmes: Develop activities that encourage visitors to explore museum collections, local history and cultural themes.

Community Events: Coordinate programmes designed to involve local residents and community organisations.

Educational Activities: Support workshops and learning sessions for schools, families and community groups.

Event Logistics: Coordinate room layouts, equipment, materials, signage and visitor-flow requirements.

Speaker Coordination: Liaise with guest speakers, facilitators, performers and external contributors.

Supplier Coordination: Work with suppliers and service providers to arrange equipment, materials and event support.

Booking Management: Coordinate registrations, reservations and attendance information for programmed activities.

Visitor Communication: Provide clear information to visitors regarding programme schedules, access arrangements and event requirements.

Event Promotion: Work with marketing and communications teams to promote upcoming programmes.

Programme Content: Assist with developing event descriptions, visitor information and promotional materials.

Community Partnerships: Build relationships with schools, charities, heritage groups and other local organisations.

School Engagement: Coordinate visits and activities for educational institutions where required.

Family Programming: Develop accessible and engaging activities for children and family audiences.

Heritage Interpretation: Support programmes that communicate local history and museum themes in an engaging way.

Collections Collaboration: Work with collections staff to incorporate appropriate objects and stories into events.

Exhibition Programming: Develop public activities that complement temporary and permanent exhibitions.

Volunteer Coordination: Support volunteers involved in programmes and visitor events.

Volunteer Briefings: Ensure volunteers receive clear information regarding their event responsibilities.

Accessibility: Consider accessibility requirements during event and programme planning.

Inclusive Programming: Support activities designed to reach a broad and diverse range of audiences.

Risk Assessments: Assist with preparing event-specific risk assessments and operational plans.

Health and Safety: Ensure event activities follow relevant health and safety procedures.

Event Setup: Coordinate preparation of spaces before activities begin.

Event Delivery: Provide on-site coordination during programmes and public events.

Forward Planning: Identify upcoming opportunities for seasonal and themed programming.

Local Heritage Events: Support programmes connected to local history, anniversaries and community heritage.

Special Events: Coordinate evening events, launches and occasional special programmes.

External Venues: Support activities delivered at community or partner locations where required.

Stakeholder Meetings: Participate in planning meetings with internal and external partners.

Marketing Coordination: Provide programme information and deadlines to communications colleagues.

Digital Programmes: Support online or hybrid heritage activities where appropriate.

Event Resources: Develop and maintain reusable event materials and programme resources.

Quality Standards: Ensure programmes are delivered professionally and consistently.

Issue Resolution: Respond calmly and practically to operational issues during live events.

Documentation Review: Ensure event information remains accurate and current.

Continuous Improvement: Use visitor feedback and programme results to improve future activities.

What We Are Looking For

Experience: Previous experience in museums, heritage, events, arts, education, tourism, visitor attractions or community programming.

Event Coordination: Practical experience organising events, workshops or public-facing activities.

Programme Planning: Ability to manage activities from initial planning through delivery and evaluation.

Visitor Focus: Strong understanding of creating positive and engaging visitor experiences.

Heritage Interest: An interest in museums, culture, history or community heritage.

Community Engagement: Confidence working with schools, local groups and community organisations.

Organisation: Strong planning and time-management skills.

Multi-Tasking: Ability to coordinate multiple events and deadlines simultaneously.
