Overview

We are seeking an energetic and detail-oriented Administration Assistant to join our dynamic team. This vital role offers the opportunity to support daily office operations, streamline administrative processes, and contribute to a productive work environment. The ideal candidate will bring enthusiasm, strong organizational skills, and a proactive attitude to ensure smooth and efficient office functioning. This paid position provides valuable experience in administrative tasks and office management within a collaborative setting.

Duties

Manage incoming calls with professional phone etiquette, directing inquiries and taking messages as needed
Maintain organized filing systems both digitally and physically, ensuring easy retrieval of documents
Perform data entry tasks accurately using Microsoft Office applications, Google Workspace, and QuickBooks software
Assist with scheduling appointments, meetings, and calendar management for team members
Support invoicing, billing, and expense tracking through QuickBooks or similar accounting tools
Handle correspondence via email and postal mail, ensuring timely responses and proper documentation
Provide general clerical support including photocopying, scanning, ordering office supplies, and preparing reports

Qualifications

Proven office experience demonstrating familiarity with administrative procedures
Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Gmail, Drive)
Experience with QuickBooks or similar accounting software is preferred
Excellent organizational skills with the ability to prioritize tasks effectively
Demonstrated typing speed and accuracy for data entry tasks
Knowledge of phone etiquette and professional communication standards
Previous clerical experience that highlights attention to detail and reliability
