Job Summary

We are seeking a highly organised and detail-oriented Administrative Assistant to provide essential support to our office operations. The successful candidate will play a vital role in ensuring smooth daily functions, managing correspondence, and maintaining accurate records. This paid position offers an excellent opportunity for individuals with strong administrative skills to contribute to a professional environment and develop their career within a dynamic organisation.

Duties

Answering incoming telephone calls and responding to emails professionally.
Managing customer enquiries and directing them to the appropriate team members.
Scheduling engineer appointments and maintaining diaries.
Preparing quotations, invoices, and general correspondence.
Processing customer orders and updating internal systems.
Entering purchase invoices accurately into the accounting system.
Assisting with billing through Zendesk, ensuring invoices are raised accurately and on time.
Processing recurring transactions and maintaining billing schedules.
Assisting with credit control, including following up on outstanding invoices when required.
Maintaining accurate customer records and filing documentation.
Ordering office supplies and supporting general office administration.
Providing administrative support to the management team.

The ideal candidate will have:

Previous experience in an administrative or office support role.
Excellent organisational and time management skills.
Strong written and verbal communication skills.
A professional and friendly telephone manner.
Excellent attention to detail and accuracy.
Good IT skills, including Microsoft Outlook, Word, and Excel.
Experience with accounting software and invoice processing would be advantageous.
Experience using Zendesk or similar service management software would be beneficial, although training can be provided.
The ability to prioritise tasks, work independently, and manage multiple responsibilities.
Assist with invoicing, billing, and other financial administrative tasks using QuickBooks
Support team members with administrative projects and general office duties
Ensure the office environment remains tidy and organised at all times
Handle mail distribution and maintain inventory of office supplies

Experience

Proven office experience or administrative background is preferred
Strong computer skills including proficiency in Microsoft Office (Word, Excel, PowerPoint)
Experience with QuickBooks or similar accounting software is advantageous
Excellent organisational skills with the ability to prioritise tasks effectively
Demonstrated typing speed and data entry accuracy
Good telephone etiquette and professional communication skills
Familiarity with clerical procedures and office management practices
