Business and Marketing Officer

Pay: £20,400 per year / 25 hours a week.

We’re an independent School and Pre-school in the heart of the Wharfedale Valley, educating children from 2–11 years old. We are seeking a committed and warm individual to join our office team in the role of Business and Marketing Officer.

JOB TITLE: Part-time Business & Marketing Officer - 25 Hours Per Week.

Term Time Only (36 weeks) Plus 6 Weeks. Salary is for 3 days/25 hours a week.

Responsible to: Headteacher

Job Description and Person Specification

Responsible for:

School administration, admission processes, marketing and communications, finance administration and operational support.

Main Purpose of the role

The Business & Marketing Officer plays a central role in the effective day-to-day operation of the school. The postholder will oversee the school’s administrative functions, support financial processes, coordinate admissions, lead marketing and communications and ensure that the school’s systems and operations run effectively.

Key Responsibilities:

Business

Lead the administration of the school's admissions systems and processes, ensuring records are maintained, enquiries are progressed, and clear communication is maintained with key personnel and prospective families.
Coordinate planned maintenance and servicing, and support the Headteacher and Governors in managing the requirements of the school’s facilities, grounds and equipment.
Act as the principal point of contact for external contractors and service providers, and facilitate supplier invoicing with the school's accountants.
Monitor and manage IT support, website maintenance and software subscriptions.
Support the Headteacher in ensuring the school remains up to date with supplier compliance requirements.
Liaise with the school accountants to ensure weekly or fortnightly reporting requirements are completed and submitted on time, and monitor key dates relating to school funding requirements.

Marketing

Create and implement marketing and development strategies that align with the school's long-term vision and support the introduction of the 1889 Foundation.
Act as the primary advocate for the 1889 Foundation, developing alumni initiatives and strengthening engagement with the alumni community.
Build and maintain relationships with the Friends of Ghyll Royd School, acting as the school's lead for events and collaborative initiatives.
Work closely with the Friends of Ghyll Royd to ensure activities and initiatives promote the school and align with the school's objectives for both the nursery and school, including budget management, resource planning, and coordination of invitations and ticket sales.
Manage marketing campaigns across all media platforms, including social media, prospective parent communications, and wider marketing publications that promote the school and nursery.
Ensure existing parents remain engaged with the school by celebrating and showcasing school life through the monthly newsletter, including events, trips, sporting fixtures, achievements and the unique qualities of Ghyll Royd.
Ensure the events calendar is planned in alignment with the school timetable, with clear schedules, communications and event details shared with staff and parents well in advance.

Admissions and growth

Nurture nursery families through their early years journey, preparing them for transition into the school.
Identify trends and opportunities to engage with the local community and businesses to support parent engagement and admissions growth.
Monitor competitor offerings and marketing activity to ensure Ghyll Royd maintains and strengthens its position in the local market.
Organise and support open events and run school tours.
Contribute to the smooth transition of new pupils by coordinating the collection of necessary documentation and liaising with key/teaching staff.
Act as the lead for all enquiries and be responsible for guiding the parent journey from initial enquiry through to a child starting in the Early Years or school.
Build and maintain relationships with parents during drop-off and pick-up times, school visits, and day-to-day interactions, ensuring they feel welcomed, known, and part of the Ghyll Royd community.
Establish a clear advertising plan across the local area and independent schools sector, and review its effectiveness and impact on an annual basis.

Experience

Strong interpersonal and communication skills, with the ability to build positive relationships with parents, staff, and external stakeholders.
Ability to think strategically while also being comfortable with hands-on operational delivery.
Confidence in representing the school positively to prospective families and the wider community.
Experience in business, marketing, communications or admissions, ideally within an education or service-based environment.
High levels of organisation, attention to detail, and the ability to manage multiple priorities effectively.

Skills

Excellent written and verbal communication skills, with strong attention to detail.
Strong organisational and time-management skills, with the ability to prioritise effectively and meet deadlines.
Competent user of MS Office (Word, Excel, PowerPoint), email systems, and school MIS/CRM platforms.
Confident in using website CMS tools and social media platforms for professional communication purposes.
Discreet and able to handle confidential information appropriately and sensitively.
Able to work effectively with a range of stakeholders, often with differing objectives and priorities.

Personal qualities

Warm, approachable and professional manner with parents, pupils, staff and external partners.
Proactive, self-motivated, and able to work independently.
Flexible and adaptable, with a willingness to support wider school activities and events as required.
Commitment to the ethos, vision and values of Ghyll Royd School & Pre-School.
Strong commitment to safeguarding and promoting the welfare of children.

Working hours

25 hours per week, to be agreed Monday to Friday between 8.30am and 4.15pm.
Occasional ad hoc event support may be required, including evenings and weekends.
