We are seeking an organized and proactive Admin Manager / Personal Assistant to join our team at The English Garden Company Ltd. Located in <LOCATION>, this role is vital in supporting our operational excellence and maintaining our high standards of service. Your contribution will help us continue delivering exceptional horticultural solutions aligned with our company values.

· Overview
We are seeking an organised, proactive, and highly professional Office Manager to oversee the day-to-day running of our busy office. Working closely with the Operations Manager, Managing Director, and Bookkeeper, the successful candidate will play a key role in ensuring the smooth operation of the business, running the office and supporting the operations manager and MD.

This is a hands-on role requiring excellent organisational skills, attention to detail, and a willingness to take ownership of all aspects of office administration and presentation. A pro-active attitude and people skills essential.

Responsibilities

Oversee daily administrative operations ensuring smooth workflow.
Manage team schedules, appointments, and correspondence.
Handle human resources tasks including recruitment and staff management.
Support senior management with project coordination and reporting.
Ensure effective communication within the team and with clients.
Organize meetings, events, and office logistics.
Uphold professional phone etiquette and client relations.

Financial Administration

Work closely with the company Bookkeeper to ensure the smooth running of financial administration.
Assist with invoicing, purchase orders, supplier invoices, and credit control when needed.
Prepare reports and information as required by the Operations Manager and Managing Director.

Customer Service & Client Relations

Act as the first point of contact for clients and visitors.
Manage incoming calls, emails, and enquiries professionally.
Assist with quotations, work scheduling, and client communications.
Help maintain excellent customer service standards throughout the business, including building up reviews and fast response times to clients requests.

Operational Support

Support the Operations Manager with scheduling, planning, and administration.
Assist with coordinating operational teams and resources.
Maintain employee records, holiday records, and training records.
Support Health & Safety administration and compliance documentation.
Qualifications
Proven experience in office administration or as a personal assistant.
Strong organizational and multitasking skills.
Excellent communication skills, both written and verbal.
Proficiency in Xero is preferred.
Leadership experience in team management.
Knowledge of human resources practices.
Supervising experience is advantageous.
Ability to handle clerical and administrative tasks efficiently.
