The Opportunity
We are looking for an organised, proactive and creative Executive Assistant & Brand Coordinator to work directly alongside the Founder of SKINBOSS.
This is a unique opportunity to become a key part of a growing luxury skin brand, supporting both the day-to-day operations of the business and the continued growth of the SKINBOSS brand.
This is not a traditional PA role.
The successful candidate will play an active role across executive support, client experience, operations, marketing and content creation, becoming a trusted extension of the founder and the business.
The Role
This is a varied position combining executive support, client experience, administration, operations and brand coordination.
The successful candidate will be highly organised, confident working independently and able to manage multiple priorities whilst maintaining exceptional attention to detail.
No two days will look the same. One day you may be managing client communications and processing product orders, the next assisting with content creation, planning a newsletter campaign or supporting an educational event.
Key Responsibilities
Executive & Administrative Support
- Managing emails and daily correspondence
- Diary and appointment management
- Supporting day-to-day business operations
- Preparing documents, reports and business communications
- Maintaining accurate client records and databases
- Liaising with suppliers, partners and third-party providers
- Supporting project and event coordination
- Creating and improving systems and processes to support business growth
Client Experience
- Managing WhatsApp and email enquiries
- Appointment confirmations and follow-up communications
- Sending consultation forms and client information
- Processing client product orders
- Supporting membership communications and administration
- Ensuring a seamless and professional patient journey
- Assisting with client retention and relationship management
Brand & Marketing Support
- Assisting with Instagram content planning and scheduling
- Supporting content creation and filming within the studio
- Creating graphics and marketing materials using Canva and Adobe
- Assisting with weekly blogs and monthly newsletters
- Supporting email marketing campaigns through Mailchimp
- Repurposing content across multiple platforms
- Monitoring content performance and engagement
- Supporting launches, promotions, events and educational evenings
About You
We are looking for someone who:
- Has previous experience as an Executive Assistant, Personal Assistant or similar role
- Has excellent written and verbal communication skills
- Has strong written English with excellent spelling and grammar
- Is highly organised with exceptional attention to detail
- Has strong computer literacy and administration skills
- Is confident using Microsoft Office, Google Workspace and cloud-based systems
- Has experience using Canva
- Has experience with Mailchimp or similar email marketing platforms
- Understands social media platforms, particularly Instagram
- Is proactive, resourceful and solutions-focused
- Can work independently and take ownership of tasks
- Is confident communicating with clients in a professional and personable manner
- Can maintain confidentiality and discretion
- Has a professional, polished and positive approach
- Is comfortable working closely with a founder-led business
Essential Requirements
- Previous PA, Executive Assistant or similar experience
- Excellent computer and administrative skills
- Full UK driving licence and own transport
- Ability to commute to Writtle, Essex
- Available to work between 15–25 hours per week
- Comfortable assisting with content creation and filming within the studio
Desirable
- Experience within aesthetics, beauty, wellness or healthcare
- Experience using Adobe Creative Suite
- Photography, videography or content creation experience
- Understanding of luxury brands and customer experience
