Full job description

Overview
We have an exciting opportunity for a Property Coordinator to join the Diocese on a permanent, full-time basis (35 hours per week, Monday to Friday).The role will support the effective management of the Diocese's property portfolio through the coordination of maintenance, compliance, property records and project activities.

Key Responsibilities:

Property Management and Maintenance

Assist in the management of a designated portfolio of diocesan properties, including churches, halls, presbyteries, schools and associated buildings.

Coordinate planned and reactive maintenance works, ensuring repairs and improvements are progressed efficiently and within agreed budgets.

Liaise with contractors, consultants and professional advisers, obtaining quotations, raising purchase orders, arranging works and monitoring progress.

Undertake site visits as required to support maintenance planning, project delivery and compliance monitoring.

Health, Safety and Compliance

Support the Diocese in meeting its statutory property compliance obligations, including fire safety, asbestos management, legionella, gas, electrical and other required inspections

Maintain accurate compliance records, certificates and inspection reports, ensuring documentation is complete, current and centrally accessible.

Assist parishes with property-related health and safety matters, providing guidance and support where appropriate.

Support the preparation and review of risk assessments, method statements and other compliance documentation.

Property Administration

Maintain and develop property databases and filing systems, ensuring records are accurate, organised and up to date.

Manage incoming property enquiries and coordinate responses with relevant members of the Property Team.

Provide administrative support for property projects, including document preparation, contractor correspondence, meeting arrangements and record keeping.

Process purchase orders, invoices and other associated property administration in accordance with diocesan procedures.

Parish and Stakeholder Support

Act as a key point of contact for clergy, staff, parish representatives, contractors and other stakeholders regarding routine property matters.

Attend meetings and site meetings as required to support diocesan property activities

Support effective communication between parishes, contractors, curial departments and the Property Team to ensure works and projects progress smoothly.

Reporting and Project Support

Assist in monitoring maintenance expenditure and produce reports on maintenance activity, compliance status and project progress.

Support the delivery of diocesan property projects, ensuring records, communications and documentation are maintained to a high standard.

Carry out any other duties commensurate with the grade and responsibilities of the role.

Person Specification

Essential

Experience in property, facilities, compliance or building maintenance administration.
Strong administrative and organisational skills.
Experience maintaining databases and accurate records.
Ability to manage multiple priorities and work independently.
Good communication and interpersonal skills.
Competent in Microsoft Office applications.
Full UK driving licence and willingness to travel within the Diocese.

Desirable

Experience within property management, facilities management or construction.
Knowledge of health and safety and statutory compliance requirements.
Experience working with contractors and external suppliers.
