Overview

We are seeking a highly organised and detail-oriented Administration Assistant to join our team. This paid position offers an excellent opportunity to develop your administrative skills within a professional environment. The successful candidate will provide vital support to our office operations, ensuring smooth and efficient day-to-day functioning. Prior office experience and strong computer skills are essential for this role, along with a proactive attitude and excellent organisational abilities.

Duties

Manage incoming calls with professionalism and courtesy, maintaining excellent phone etiquette
Organise and maintain physical and electronic filing systems for easy retrieval of documents
Perform data entry tasks accurately using Microsoft Office, Google Workspace, and QuickBooks
Assist in scheduling appointments, meetings, and events, ensuring all logistics are coordinated effectively
Prepare correspondence, reports, and presentations as required
Support invoicing and billing processes through data entry and record keeping
Handle general administrative tasks such as photocopying, scanning, and distributing mail
Maintain an organised workspace to promote efficiency across the office
Support team members with ad hoc administrative duties as needed

Experience

Previous office or administrative experience is preferred but not essential; training will be provided for the right candidate
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace is required
Experience with QuickBooks or similar accounting software is advantageous
Strong organisational skills with the ability to prioritise tasks effectively
Excellent typing speed and accuracy for data entry tasks
Good communication skills with professional phone etiquette
Familiarity with clerical procedures and basic office equipment operation
Ability to work independently as well as part of a team in a fast-paced environment
