Customer Service Administrator

Join an International Medical Technology Manufacturer

An exciting opportunity has arisen for a Customer Service Administrator to join an established international manufacturer of Medical and Dental Lighting.

At DARAY, we are committed to delivering exceptional products and outstanding customer experiences. As a key member of our Customer Service team, you will play an important role in supporting customers and internal departments by ensuring the efficient administration of orders, installations, after-sales support, and customer enquiries.

This position is ideal for an organised and detail-oriented individual who enjoys working in a fast-paced environment, managing multiple tasks, and delivering excellent customer service.

The Role

Reporting to the Administration Manager, you will be responsible for the administration and coordination of customer orders, engineer scheduling, customer communications, and after-sales activities. You will act as a key point of contact for customers, ensuring enquiries are handled professionally and efficiently whilst maintaining the highest standards of accuracy and service.

The successful candidate will possess excellent organisational skills, strong attention to detail, and the ability to work effectively both independently and as part of a team.

Key Responsibilities

Process customer orders received via telephone, email, website, and internal sales channels.
Verify order information and issue order acknowledgements promptly.
Ensure delivery, billing, and transportation details are accurate and complete.
Liaise with customers, engineers, production, and logistics teams to ensure smooth order fulfilment.
Process product amendments and customer change requests accurately and efficiently.
Respond to customer enquiries and provide timely updates on orders, deliveries, and service requests.
Manage customer feedback and ensure all actions are completed within agreed timescales.
Administer credit notes, returns, exchanges, and warranty-related documentation.
Maintain accurate customer records and documentation within company systems.
Assist with quality management administration and internal procedures.
Support continuous improvement initiatives and departmental projects as required.

Skills & Experience Required

Previous experience in a customer service, administration, sales support, or office administration role.
Excellent organisational and administrative skills.
Strong customer service ethic and professional approach.
High level of accuracy and attention to detail.
Excellent verbal and written communication skills.
Professional and confident telephone manner.
Ability to prioritise workload and manage multiple tasks effectively.
Strong IT skills, including Microsoft Office applications.
Ability to work under pressure whilst maintaining accuracy and professionalism.

Desirable

Experience within a manufacturing, engineering, or medical devices environment.
Knowledge of ISO 900, ISO 13485, ISO14001 quality management systems.
Experience coordinating engineers or service activities.
Additional language skills would be advantageous but are not essential.
