Full job description

Job Overview
We are seeking a detail-oriented and proactive Administrative Assistant to join our team. This role is essential in providing comprehensive administrative support to ensure the smooth operation of our office. The ideal candidate will possess strong organisational skills, excellent phone etiquette, and proficiency in Microsoft applications. Ideally we are looking for someone full time, part time (everyday within school hours ) would be considered for the right candidate.

Responsibilities

Support engineers with administrative duties
Manage incoming calls and respond to inquiries or ensure relevant persons receive messages
Perform data entry tasks accurately and efficiently to maintain up-to-date records.
Assist in the preparation of reports, presentations, and correspondence as required.
Organise and maintain office files, ensuring all documents are easily accessible.
Coordinate meetings, appointments, and travel arrangements for team members.
Provide clerical support including typing, photocopying, and scanning documents.
Collaborate with team members to improve administrative processes and enhance office efficiency.
Liaise with subcontractors and clients, chase for information / reports
Arrange access for jobs ensuring all documentation / permits have been sent and are in place
Assist with preparation and issue of Risk & Method Statements

Requirements

Proven experience in an administrative or clerical role is essential with experience in an engineering background preferred.
Proficiency in Microsoft applications (word, excel, outlook) is essential.
Strong organisational skills with the ability to manage multiple tasks simultaneously.
Excellent phone etiquette and communication skills, both written and verbal.
Attention to detail with a commitment to producing high-quality work.
Ability to work independently as well as part of a team in a fast-paced environment.
Due to location of the offices a driving license and transport are essential as there is no public transportation nearby.
