Job Summary
We are seeking a dynamic and detail-oriented Sales and Purchasing Administrator to join our team. This vital role combines sales administration, procurement support, and customer service to ensure smooth operations across sales and purchasing functions. The ideal candidate will thrive in a fast-paced environment, demonstrating excellent organizational skills, strong communication abilities, and proficiency with various computer software tools. Your proactive approach will help optimize order processing, supplier coordination, and client interactions, contributing directly to the company's growth and efficiency.

Responsibilities

XERO

Bank Reconciliation

Weekly/Monthly Sales Invoicing (See below for more details)

Monthly Statement

Aged Receivable Report

Customer Care Invoicing (VAT element)

Monthly VAT return

Weekly/Monthly Purchase Invoices (see Purchase Invoicing below for more details)

Aged Payable Report

Sending Aged Payable RA’s to suppliers once payments been made and xero reconciled.

Credit notes

Exporting invoice details to excel to check for duplicates and for queries etc

SALES INVOICING

Raise weekly/monthly invoices on xero

See separate notes in invoicing folder regarding customer specific invoicing requirements

Update Weekly Invoice Totals Spreadsheet

PURCHASE INVOICING

Checking purchase invoices against delivery notes and statements

Scan and upload to Xero via hubdoc, including departmental annotation. Then process through hubdoc to xero accordingly.

Qualifications

Proven experience in sales administration or procurement support roles with strong organizational skills.
Proficiency in Microsoft Office Suite including Word, Excel, PowerPoint, Outlook; familiarity with Xero software is essential.
Excellent communication skills in English with the ability to convey information clearly and professionally.
Strong computer literacy and IT skills to navigate various software platforms efficiently.
Demonstrated ability to manage time effectively in a busy environment while prioritizing tasks appropriately.
Previous administrative experience supporting sales or purchasing functions is highly desirable.
Knowledge of customer service principles to enhance client interactions and satisfaction.
