Property & Lettings Administrator

About Us

Fields of Shifnal Limited is an independent estate and lettings agency based in the heart of Shropshire. We pride ourselves on delivering a professional, personal, and reliable service to our clients.

We are seeking an organised, proactive, and professional Property & Lettings Administrator to join our friendly team. This is an excellent opportunity for someone with strong administrative skills who enjoys working in a fast-paced office environment and building positive relationships with clients.

The Role

Supporting the day-to-day running of our busy office, you will play a key role in ensuring administrative processes are completed efficiently while providing excellent customer service to landlords, tenants, buyers, sellers, and contractors.

Key Responsibilities

Administration & Customer Service

Provide a professional and friendly service in person, by telephone, and via email.
Manage general office administration, including filing, data entry, record maintenance, and correspondence.
Handle enquiries from landlords, tenants, buyers, sellers, and contractors.
Maintain accurate databases and property records.
Coordinate and arrange appointments for viewings, inspections, valuations, and contractor visits.

Lettings & Property Administration

Prepare tenant check-in documentation and tenancy paperwork.
Assist with tenant referencing and compliance checks.
Maintain tenancy records, rent schedules, and property information.
Support end-of-tenancy administration, including deposit returns.
Liaise with landlords regarding tenancy matters and rent reviews.

Compliance & Repairs Administration

Arrange and monitor compliance certificates, including Gas Safety, Electrical Inspections, and EPCs.
Liaise with contractors to ensure inspections and certification deadlines are met.
Log repair requests and communicate with tenants, landlords, and contractors to monitor progress through our industry platform.

Marketing Support

Assist with online property listings and window displays.
Help manage company social media platforms.

About You

Essential

Excellent communication and organisational skills.
Strong attention to detail.
Good IT skills and confidence using Microsoft Office.
Ability to work independently and as part of a team.
Professional and proactive approach.
Previous experience in administration.

Desirable

Previous experience in administration, estate agency, lettings, or property management.
Housing or property-related qualification.
Full UK driving licence and access to a vehicle.

Salary & Benefits

Salary dependent on experience.
25.6 days annual leave inclusive of Bank Holidays (pro rata if applicable).
Friendly and supportive working environment.
Opportunity to develop within the property sector.
