About us

We are a well-established engineering company based in Wallingford, Oxfordshire, providing high-quality products and services to customers across the UK and beyond. Due to continued growth, we are looking for a highly organised and proactive Order Administrator to manage our spare parts sales process from enquiry through to delivery and invoicing.

This is a varied and hands-on position that would suit someone who enjoys taking ownership of their role, working closely with customers and suppliers, and being an integral part of a small, supportive team.

The role

As our Sales Administrator, you will be responsible for managing the complete spare parts order process from start to finish. No two days are the same, and you'll play a key role in ensuring our customers receive excellent service throughout their experience with us.

Your responsibilities will include:

Answering customer telephone calls and emails
Responding to spare parts enquiries
Preparing and issuing quotations
Processing customer orders
Ordering parts from suppliers
Updating and maintaining our job management system
Liaising between customers, suppliers and colleagues
Receiving and checking deliveries
Picking, packing and dispatching customer orders
Arranging courier collections and shipments
Preparing invoices and associated documentation
Ensuring accurate record keeping throughout the order process

About you

We're looking for someone who is organised, enthusiastic and willing to get stuck in wherever needed.

You'll ideally have:

Outstanding attention to detail
Excellent written and spoken communication skills
Strong organisational and administrative abilities
The capacity to manage multiple tasks and priorities
A proactive, self-motivated approach
The confidence to work independently and use your own initiative
An understanding of and ability to apply commerciality
Good IT skills and experience using Microsoft Office
A positive, team-focused attitude
A willingness to roll up your sleeves and help out with whatever is needed

Previous experience in sales administration, customer service, order processing or a similar role would be advantageous. Experience within an engineering, manufacturing or technical environment would be beneficial but is not essential.
