Full job description

Overview

We are a small metalwork company that needs help with maintaining communication with customers, organising the calendar/diary. There is an office on site where phone calls will be directed to and and answerphone messages will need to be dealt with.

We use Xero and Trello to keep track of customers, scheduling and payments.

Very few customers come to the workshop but there are plenty of phone calls and emails to work through. Your main aim is to keep the company directors organised and minimise their time spent scheduling and communicating with customers.

Duties

Greet visitors warmly, answer incoming calls with professionalism, and direct inquiries to the appropriate departments
Manage front desk operations, including handling mail, deliveries, and scheduling appointments
Maintain organized records through accurate data entry using Microsoft Office, Google Workspace, and Xero
Support administrative tasks such as filing, photocopying, and updating company databases
Assist with invoicing processes by utilizing Xero.
Ensure office and kitchen supplies are stocked and equipment is functioning properly to keep the workspace efficient and inviting

Experience

Previous office experience or clerical experience demonstrating strong organizational skills and attention to detail
Proficiency in computer skills including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Drive), and basic data entry techniques
Familiarity with Xero
Excellent phone etiquette with the ability to communicate clearly and professionally in all interactions
Strong organizational skills with the ability to prioritize tasks effectively in a busy environment
Typing skills that ensure quick, accurate documentation of information
Demonstrated ability to perform administrative tasks efficiently while maintaining a friendly demeanor
