Governance Administrator - accurate, organised, and comfortable chasing senior people to deadlines

Location: Leicester (hybrid) Job Type: Full-time, permanent Salary From: £[XX,000] per year

The Opportunity

CB1 Medical is building out its governance function and needs a Governance Administrator at the centre of it.

This is the role that keeps the system running: papers out on time, minutes accurate, actions chased to closure, registers current and policies under version control. You will work to our Governance Managers, alongside the Medical Director, the Chief Executive and our clinical leads.

If you are the person who spots the action nobody closed and the policy three months past review, this role is built for you.

About CB1 Medical

CB1 Medical is a CQC-registered specialist clinic prescribing cannabis-based medicines for patients with complex chronic pain and mental health needs. We operate a remote-first consultation model alongside CB1 Pharmacy, our dispensing partner.

Clinical governance is central to how we work: a weekly Clinical Governance Forum, a ratified policy suite and a structured audit programme.

The Role

Prepare and circulate agendas and papers for the Clinical Governance Forum and other governance meetings
Take accurate minutes and produce them promptly
Maintain the action log, with every action owned, dated and chased to closure
Maintain the governance and assurance calendar, and schedule meetings, audits and reviews
Maintain the policy suite: version control, review dates and ratification records
Maintain the risk register, incident log and complaints log under the Governance Managers' direction
Track training compliance, professional registration checks and appraisal records
Support clinical audit data collection, Board reporting and CQC inspection preparation
Act as a first point of contact for governance queries across the business

What We're Looking ForEssential

Strong administrative experience in a professional, process-driven environment
Excellent minute-taking and written communication
Exceptional attention to detail and accuracy
Confidence chasing outstanding actions from senior colleagues, politely and persistently
Complete discretion with confidential information
Good working knowledge of Microsoft Office and comfortable learning new systems quickly

Desirable

Experience in healthcare, pharmacy or another regulated environment
Experience supporting a governance, quality, compliance or audit function
Awareness of the CQC assessment framework
Experience servicing committees or boards
Confident use of AI tools, which we use across the business
