Job Summary

We are seeking a dynamic and highly organized Office Administrator to join our team! In this vital role, you will be the backbone of our daily operations, ensuring that the office runs smoothly and efficiently. Your proactive approach and excellent communication skills will help foster a productive environment, support team members, and maintain seamless administrative workflows. This paid position offers an exciting opportunity to develop your skills in a fast-paced, collaborative setting while contributing to the overall success of our organization.

Duties

Manage day-to-day office operations, including handling correspondence, scheduling appointments, and coordinating meetings.
Maintain organized filing systems both digitally and physically to ensure quick retrieval of documents.
Answer incoming phone calls with professionalism and courtesy, directing inquiries to appropriate team members.
Perform data entry tasks accurately using Microsoft Office applications, Google Workspace tools, and QuickBooks accounting software.
Assist with inventory management, supply ordering, and tracking office equipment maintenance.
Support administrative projects such as preparing reports, drafting correspondence, and updating databases.
Provide exceptional customer service by greeting visitors and addressing their needs promptly.

Requirements

Proven office experience with strong organizational and multitasking skills.
Proficiency in computer skills including Microsoft Office (Word, Excel, PowerPoint), Google Workspace (Gmail, Drive), and QuickBooks.
Excellent phone etiquette with the ability to communicate clearly and professionally.
Demonstrated administrative experience with data entry accuracy and clerical proficiency.
Strong organizational skills to manage multiple priorities efficiently.
Ability to type quickly while maintaining precision in documentation tasks.
Familiarity with office equipment such as printers, scanners, and telephones is preferred.
