Job Summary

We are seeking a proactive and organized Office Assistant to join our dynamic team! In this vital role, you will be the backbone of daily office operations, ensuring smooth communication, efficient administrative processes, and a welcoming environment for staff and visitors alike. Your energy and attention to detail will help keep our office running seamlessly, supporting our team’s success every day. This paid position offers an exciting opportunity to develop your administrative skills in a fast-paced, collaborative setting.

Duties

Manage incoming calls with professionalism, demonstrating excellent phone etiquette and directing inquiries appropriately
Perform data entry tasks accurately using Microsoft Office applications, Google Workspace tools, and QuickBooks as needed
Organize and maintain filing systems, both digital and physical, to ensure easy access to important documents
Assist with scheduling meetings, appointments, and coordinating office events or activities
Support clerical tasks such as photocopying, scanning, mailing, and inventory management of office supplies
Provide exceptional customer service to visitors and clients by creating a friendly and professional atmosphere
Handle basic bookkeeping responsibilities including invoicing, expense tracking, and record keeping

Requirements

Prior office experience demonstrating familiarity with administrative procedures and office equipment
Strong computer skills with proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Drive), and QuickBooks
Excellent organizational skills with the ability to prioritize tasks efficiently in a busy environment
Demonstrated typing speed and accuracy for data entry tasks
Professional phone etiquette with clear communication skills
Previous clerical experience is preferred but not required; training will be provided for specific software tools if needed
Ability to work independently while maintaining attention to detail and accuracy
