Office & Logistics Coordinator

Location: Stanton, Suffolk
Salary: depending on experience
Hours: Full-time, 37.5 hours per week, Monday to Friday 9-5
Contract: Permanent

About Microcide

Microcide is a small, family-run agricultural business based in Stanton, Suffolk. We manufacture and supply specialist agricultural products to customers in the UK and internationally, with a significant proportion of our business involving export markets.

We are looking for an experienced and practical Office & Logistics Coordinator to take responsibility for our day-to-day logistics operation working alongside with our small warehouse team.

The role

This is a varied, hands-on position combining international logistics, accounts, administration and the management of processing orders with the warehouse team.

You will coordinate customer orders from receipt through to dispatch, raising sales invoices, manage freight and customs requirements, prepare the necessary sales and shipping documentation and ensure the warehouse team understands current production and dispatch priorities.

You will directly be working alongside warehouse staff, working closely with the company’s Technical & Product Development Manager, Accounts Manager and Directors.

As part of a small business, you must also be willing to help practically when required and contribute ideas that make our systems and day-to-day operation more efficient.

Main responsibilities

Logistics and order administration

Process UK and international customer orders.
Arrange freight, deliveries and collections with hauliers, couriers and freight forwarders.
Prepare commercial invoices, packing lists and other dispatch documentation, liaising with the Chamber of commerce
Prepare and check customs and export documentation.
Liaise with customers, suppliers, freight companies and customs agents.
Monitor shipments and resolve delays, documentation errors and delivery problems.
Maintain accurate customer, order, shipping and goods-movement records.
Provide all relevant sales and order information to the Accounts Manager.

Warehouse and team management

Set production, packing and dispatch priorities in coordination with the Technical & Product Development Manager.
Allocate and monitor the warehouse team’s daily workload.
Ensure orders are manufactured, packed and dispatched correctly and on time.
Ensure digital stock, production, batch and traceability records are completed accurately by the warehouse team.
Review stock information and approve or coordinate routine ordering requirements.
Monitor warehouse organisation, housekeeping and working standards.
Identify and address performance, communication or workflow problems.
Aid in the warehouse during busy periods or staff absence.

Operational improvement

Maintain clear production, order, delivery and collection schedules.
Identify potential stock, production or shipping problems before they become urgent.
Help develop and improve digital records, procedures and working systems.
Suggest practical improvements that save time, reduce errors or improve communication.
Assist with general office and operational duties where reasonably required.
Provide regular updates on orders, logistics, production and warehouse performance.

What we are looking for

Essential

Previous experience in logistics, freight, order processing or operations for oversea shipping.
Experience preparing commercial and shipping documentation.
Strong organisational skills and attention to detail.
Confident using Microsoft Office/Excel and digital record-keeping systems.
Able to manage several orders, shipments and production requirements simultaneously.
Clear and professional communication with colleagues, customers and suppliers.
A practical, adaptable approach suited to a small business.
Willingness to take ownership of problems and follow them through to completion.
Ability to work independently

Desirable

Experience arranging international freight and exports.
Knowledge of customs procedures and export documentation.
Experience within manufacturing, agriculture, chemicals or another regulated industry.
Experience with stock-control, traceability or production-management systems.
Experience raising sales invoices and preparing commercial documentation.

Some flexibility may occasionally be required around urgent customer orders, freight collections or international shipping deadlines, although the role will normally operate within standard Monday-to-Friday hours.
