About the role

UK Restoration Services specialises in the conservation, repair and restoration of historic, listed and significant buildings.

Due to continued growth, we are looking for an organised and proactive Contract Managers Assistant to support our Contracts and Project Managers with the day-to-day coordination of live construction projects.

This is an integral supporting role covering project administration, procurement, subcontractor coordination, document control and project close-out. You will help ensure information is accurate, actions are followed up and projects continue to progress efficiently.

You will work closely with Contracts and Project Managers, site teams, clients, consultants, subcontractors, suppliers and the finance team.

Key responsibilities

Provide day-to-day support to the Contracts and Project Managers
Assist with project start-up, mobilisation and pre-construction activities
Set up and maintain project files, trackers, registers and document-control records
Monitor project actions, deadlines, approvals and outstanding information
Ensure current drawings, specifications, instructions and programmes are available to the relevant teams
Prepare and distribute meeting minutes, action lists, correspondence and project updates
Coordinate communication between the office, site teams, clients, consultants, subcontractors and suppliers
Assist with arranging meetings, site visits, inspections, plant and project resources
Obtain quotations and support subcontractor and supplier enquiries
Follow up outstanding prices, documentation, approvals and delivery information
Assist with subcontractor pre-qualification, selection and appointment records
Check that required insurances, competency information, signed terms and compliance documents have been received
Prepare purchase-order information and coordinate the required checks and approvals
Maintain records of quotations, purchase orders, subcontract orders and variations
Support variation and change-control records, including instructions, prices and approvals
Track specialist materials, plant and long-lead items
Liaise with finance regarding orders, invoices and project records
Support practical completion, defect management and project close-out
Collate completion reports, photographs, warranties, certificates and handover information
Help ensure project records are complete, accurate and ready for audit

About you

You will be highly organised, dependable and comfortable supporting several projects at the same time.

You should have:

Experience in construction administration, project coordination, contract support or a similar role
Strong organisational and document-control skills
Excellent attention to detail
The ability to manage competing priorities and follow actions through to completion
Clear and professional communication skills
Confidence dealing with managers, site teams, clients, subcontractors and suppliers
Good working knowledge of Microsoft Word, Excel and Outlook
Experience maintaining trackers, registers and electronic project records
A proactive approach to obtaining information and following up outstanding action
The ability to work independently and as part of a wider project team
A professional approach to confidential and commercially sensitive information

Desirable experience

It would be beneficial to have:

Experience within construction, refurbishment, heritage or conservation
Experience supporting Contracts Managers or Project Managers
Familiarity with subcontractor procurement and pre-qualification
Experience with purchase orders, quotations or variations
An understanding of construction drawings and terminology
Experience preparing project completion or handover information
A relevant administration, construction or project-management qualification

Training and support will be provided in relation to our procedures, construction terminology and heritage projects.
