Job description

Acute New Elevators is a growing independent lift company delivering new lift installations and lift modernisation projects across London, the South East and throughout the UK.

Due to continued growth, we are looking for an organised and proactive Project Coordinator / Administrator to join our New Lifts & Modernisation team at our Rochester office.

This is a key project support role, working closely with our Project Managers, Technical Director, site engineers, clients, contractors and suppliers to help coordinate projects from order through to installation, completion and handover.

The role would suit an experienced Project Administrator, Project Coordinator or Contracts Administrator who is confident managing multiple priorities and enjoys working in a busy engineering or construction environment.

Lift industry experience is not essential. Experience within construction, engineering, M&E, manufacturing or a specialist subcontractor would be advantageous.

The role

Your responsibilities will include:

Setting up and maintaining project files, records and documentation
Assisting with project programmes and installation schedules
Coordinating multiple live new lift and modernisation projects
Liaising with clients, main contractors, consultants, suppliers and manufacturers
Tracking technical drawings, approvals and outstanding project information
Chasing clients and contractors for information required to maintain project programmes
Monitoring equipment manufacture, procurement and delivery dates
Coordinating site surveys, equipment deliveries and installation dates
Supporting Project Managers and site installation teams
Maintaining project trackers and internal management systems
Assisting with O&M manuals, handover documentation and project completion records
Monitoring project progress and identifying potential delays
Escalating programme issues or outstanding information where required
Ensuring accurate and up-to-date project records are maintained throughout the project lifecycle

About you

We are looking for someone who is:

Highly organised with excellent attention to detail
Proactive and comfortable taking ownership of tasks
Confident managing multiple projects and priorities
A strong communicator by telephone and email
Comfortable chasing clients, contractors and suppliers for outstanding information
Able to identify potential issues and escalate them before they affect project delivery
Confident using Microsoft Office, including Outlook, Word and Excel
Able to work effectively within a busy technical and operational team
Professional and confident when dealing with clients and contractors

Previous experience in project administration, project coordination or contract administration is preferred.

Experience within the lift, construction, engineering, M&E, manufacturing or specialist subcontractor sectors would be advantageous but is not essential.
