Sales Administrator

Oxford Event Hire | Headington, Oxford
£26,400 – £29,100 per annum, dependent on experience
Equivalent to approximately £12.71 – £14.00 per hour
Full-time | Permanent | Monday–Friday, 8:30am–5:00pm

Join a growing Oxfordshire events business

Due to ongoing growth, Oxford Event Hire is looking for a friendly, organised and commercially minded Sales Administrator to join our team.

We are an established event and catering equipment hire company based in Headington, Oxford, supplying furniture, glassware, crockery, catering equipment and much more to weddings, corporate events, venues, caterers, festivals and private events across Oxfordshire and beyond.

This is a varied office-based role supporting our sales and operations teams and acting as an important point of contact for our customers.

You’ll be responsible for handling customer enquiries, preparing quotes, processing bookings, updating our CRM system, raising invoices and keeping orders organised from initial enquiry through to delivery and collection.

We’re looking for someone who is highly organised, confident communicating with customers and comfortable managing multiple tasks at once. You don’t necessarily need previous experience in the events industry — the right attitude, attention to detail and willingness to learn are just as important.

What you'll be doing

Managing customer enquiries by phone, email and website
Responding to enquiries promptly and professionally
Preparing and sending quotes based on customers’ requirements
Following up enquiries and helping convert them into confirmed bookings
Processing and updating customer bookings accurately
Maintaining accurate customer and order information within our CRM system
Liaising with customers regarding orders, availability, payments and delivery details
Creating invoices and payment links
Monitoring outstanding payments and information
Liaising with the warehouse and operations teams to ensure orders are prepared correctly and on time
Arranging non-stock items and keeping track of outstanding equipment
Checking booking details and ensuring customer requirements are communicated clearly to the relevant teams
Providing administrative support to the sales team
Helping with the general day-to-day running of a busy sales office
Supporting website and social media updates when required
Providing friendly and professional customer service throughout the hire process

What we're looking for

Personality and attitude are just as important to us as previous experience.

We’re looking for someone who is:

Highly organised and detail-focused
Friendly, approachable and confident communicating with customers
Comfortable dealing with enquiries by phone and email
Able to prioritise and manage several tasks at the same time
Proactive and able to use their own initiative
Reliable and conscientious, with a strong eye for accuracy
Comfortable working with numbers, quotes and invoices
Confident using computers and willing to learn new systems
A good written communicator
Commercially aware and interested in supporting sales
A positive team player who is happy to get involved and help wherever needed

Previous experience in sales administration, office administration, customer service, hospitality, events or a similar role would be an advantage, but full industry experience isn't essential for the right person.
