Full job description

Job Overview
We are seeking a highly organised and detail-oriented Administration Assistant to support our office operations. This paid position offers an excellent opportunity for individuals with a passion for administrative work and strong computer skills to contribute to a professional environment. The successful candidate will play a vital role in maintaining smooth daily operations, ensuring effective communication, and supporting various administrative tasks.

Duties

Managing incoming calls with professional phone etiquette and directing enquiries appropriately
Organising and maintaining files, records, and documentation in both physical and digital formats
Data entry and updating information using Microsoft Office, Google Workspace, and QuickBooks software
Assisting with scheduling appointments and managing calendars
Preparing correspondence, reports, and other documentation as required
Supporting invoicing, billing, and basic bookkeeping tasks using QuickBooks
Handling general administrative duties.
Ensuring the office environment remains tidy and well-organised at all times

Qualifications

Proven office experience or administrative experience is highly desirable
Strong computer skills including proficiency in Microsoft Office (Word, Excel, Outlook) and Google Workspace applications
Experience with QuickBooks or similar accounting software is advantageous
Excellent organisational skills with the ability to prioritise tasks effectively
Good typing speed and accuracy for data entry tasks
Demonstrated phone etiquette and professional communication skills
Ability to work independently with minimal supervision while maintaining attention to detail
Previous clerical experience or familiarity with office procedures is preferred
