The Receptionist / Administrator plays a key role in creating a positive first impression for visitors and callers, as well as looking after the day-to-day ancillary office requirements and working environment. The role requires excellent communication skills, a professional demeanor, and the ability to calmly but quickly handle multiple diverse tasks efficiently in a fast-paced environment.

Reports to : Head of HR

Main duties:

Answer incoming calls and direct accordingly. Answer any questions politely, efficiently and confidently. Ensure confidentiality and professionalism.
Effectively log any incoming customer complaints and escalate for resolution as required with appropriate teams.
Greet and welcome guests on the ground floor reception area as soon as they arrive and direct them to the appropriate person and office.
Ensure the 7th floor reception area and meeting rooms are tidy and presentable.
Oversee the meeting room diaries, and prepare meeting rooms for meetings and interviews, with refreshments and snacks as requested. Tidy the rooms following meetings.
Look after the stationery requirements and office essentials. This includes keeping inventory of stock and replenishing office essentials i.e., coffee, tea, cleaning products, refill air fresheners etc.
Ensure kitchen areas remain tidy and coffee machine etc is replenished as required.
Oversee the cleaning staff ensuring the work is comprehensive and efficient .
Liaise with the relevant parties for facilities management, including booking plumbers, electricians etc.
Assisting HR Department with administrative tasks when required.
Any other ad hoc duties associated with maintaining a smooth running and comfortable working environment
