Job Summary

We are seeking a dynamic and highly organised Office Administrator to join our team! In this vital role, you will be responsible for daily operations, ensuring smooth administrative processes and fostering an efficient work environment. Your proactive approach and attention to detail will help keep our office administration running seamlessly, supporting our consults and management alike. This paid position offers an exciting opportunity to join a small team and develop your skills in a fast-paced, collaborative setting while making a meaningful impact on our organisation’s success.

Responsibilities

Manage daily office operations, including scheduling appointments, coordinating meetings
Handle incoming calls with professionalism and courtesy, directing inquiries appropriately
Perform data entry tasks accurately using tools like Microsoft Office and our Workspace System to update records and maintain databases.
Assist with administrative tasks such as filing, downloading documents and preparing accurate records for our consultants
Support bookkeeping activities by managing invoices, expense reports, and financial records using QuickBooks
Maintain organised electronic filing systems to ensure easy retrieval of information
Provide excellent phone etiquette and customer service to clients, and team members

Requirements

Proven office experience with strong organisational skills and attention to detail
Proficiency in computer skills including Microsoft Office (Word, Excel, PowerPoint), Outlook Calendar and Teams, and basic data entry techniques
Prior administrative experience demonstrating effective multitasking and time management
Strong typing skills for efficient document creation and data entry
Knowledge of clerical procedures such as filing, record keeping, and correspondence management
Ability to adapt quickly to new software tools like QuickBooks for financial tasks
Demonstrated organisational skills with the ability to prioritise tasks effectively
Ability to deal with sensitive documentation in accordance with company policy

Working Hours

Tuesday - Friday

8:30am to 1pm

Flexibility around working times will be considered.

Pay: £16.00-£17.00 per hour
