Job Summary

We are seeking a dynamic and highly organized Executive Assistant to support our leadership team. This role offers an exciting opportunity to be the backbone of daily operations, ensuring seamless communication, efficient scheduling, and meticulous administrative management. The ideal candidate will thrive in a fast-paced environment, demonstrating proactive problem-solving skills and a positive attitude. Your energy and attention to detail will directly contribute to the success of our organization by enabling executives to focus on strategic priorities.

Duties

Manage complex calendars, schedule meetings, and coordinate appointments with precision and flexibility
Prepare and organize documents, reports, presentations, and correspondence using Microsoft Office and Google Workspace tools
Handle incoming calls with professional phone etiquette, screen inquiries, and direct communications appropriately
Perform data entry tasks accurately within systems such as QuickBooks and other administrative platforms
Assist with travel arrangements, event planning, and logistics to support executive needs
Maintain organized filing systems both digitally and physically to ensure quick retrieval of information
Support clerical tasks including copying, scanning, mailing, and managing office supplies to keep the workspace efficient

Experience

Proven administrative experience supporting senior executives or teams in a fast-paced environment
Strong organizational skills with the ability to prioritize tasks effectively under tight deadlines
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Calendar, Drive), and familiarity with QuickBooks accounting software
Excellent data entry skills with high accuracy and typing speed
Demonstrated office experience including clerical duties such as filing, record keeping, and correspondence management
Exceptional phone etiquette with clear communication skills for interacting professionally with internal teams and external contacts
Experience managing multiple priorities simultaneously while maintaining attention to detail
