Job Description: Transport / Fleet Administrator

Department: Transport Reports to: Transport Manager

Role Purpose

The Transport / Fleet Administrator is responsible for providing comprehensive administrative support to the Transport Department within a fast‑paced national generator hire business. The role ensures that all fleet‑related activities are compliant, accurately recorded, and efficiently coordinated to support the safe and timely delivery of equipment across the UK.

You’ll be the organisational backbone of the transport department — maintaining records, scheduling vehicle movements, supporting drivers, and ensuring the fleet meets all legal and operational standards.

Key Responsibilities:

§ Fleet Compliance Administration

o Maintain accurate records for all vehicles, including MOT, servicing, LOLER, insurance, and statutory documentation.

Monitor and update tachograph data, driver hours, and vehicle defect reports.
Support adherence to DVSA and Operator Licence requirements.

§ Transport Coordination

Assist with daily scheduling of vehicle movements, ensuring efficient routing and timely delivery/collection of equipment.
Liaise with depots, drivers, and customers to support operational requirements.

§ Supplier & Maintenance Support

Coordinate with external suppliers including maintenance providers, tyre contractors, and breakdown services.
Track and manage vehicle off‑road time, repair progress, and associated documentation.

§ Telematics & Reporting

Monitor telematics systems for vehicle utilisation, fuel usage, and alerts.
Produce regular reports for management, including compliance, cost tracking, and fleet performance.
Incident & Insurance Administration
Log and manage accident reports, insurance claims, and repair documentation.
Ensure timely communication with insurers, repair agents, and internal stakeholders.
General Administration
Maintain departmental records, spreadsheets, and filing systems.
Provide administrative support to the Transport Manager and wider team as required.

Skills, Experience & Qualifications

Previous experience in a transport, logistics, or fleet administration role (desirable).
Strong understanding of transport compliance, including driver hours and O‑licence requirements (advantageous).
Proficient in MS Office and comfortable using fleet management or telematics systems.
Excellent organisational skills with strong attention to detail.
Effective communication skills with the ability to liaise professionally with internal and external stakeholders.
Ability to work under pressure and manage multiple priorities in a fast‑paced environment.
