Overview

We are seeking a proactive and organized Office Assistant to join our dynamic team! This vital role offers an exciting opportunity to support daily office operations, enhance administrative efficiency, and contribute to a positive workplace environment. If you thrive in fast-paced settings, possess excellent organizational skills, and enjoy helping others stay on track, this position is perfect for you! You will play a key role in ensuring smooth communication, accurate data management, and effective office procedures.

Duties

Manage incoming calls with professional phone etiquette, directing inquiries and taking messages as needed
Perform data entry tasks accurately using Microsoft Office applications and Google Workspace tools
Maintain organized filing systems for documents, correspondence, and records
Assist with scheduling appointments, meetings, and calendar management for team members
Support invoicing and financial record keeping using QuickBooks or similar accounting software
Handle general clerical tasks such as photocopying, scanning, mailing, and ordering office supplies
Provide friendly assistance to visitors and team members, fostering a welcoming office atmosphere

Requirements

Prior office experience demonstrating strong administrative skills
Proficiency with computer skills including Microsoft Office Suite (Word, Excel, PowerPoint) and Google Workspace (Gmail, Drive, Calendar)
Experience with data entry and maintaining accurate records
Excellent organizational skills with the ability to prioritize tasks effectively
Strong typing skills for efficient document preparation and correspondence
Knowledge of QuickBooks or similar accounting software is a plus
Professional phone etiquette and excellent communication skills
Previous clerical experience preferred but not required; training will be provided for the right candidate
