Full job description

Job Overview

· To safeguard Young People and children from anything and anyone who can harm their welfare.

Duties

Manage day-to-day administrative tasks including filing, data entry, and document organisation
Handle incoming calls with professionalism and courtesy, adhering to proper phone etiquette
Maintain and update records using Microsoft Office programmes, and QuickBooks as required
Assist with scheduling appointments, meetings, and maintaining calendars for staff
Prepare reports, correspondence, and presentations as needed
Support bookkeeping activities such as invoicing and expense tracking
Ensure the office environment remains tidy and well-organised
To carry out a range of administrative tasks and be able to provide cover for other team members as and when required.
Liaise with clients, suppliers, and internal teams to facilitate effective communication
Oversee and achieve organisational goals while maintaining an efficient, productive, and positive cultures office and employee experience.
Assist with billing by preparing and sending invoices; maintain client databases; track accounts; oversee the invoice workflow, and assist in copying and distributing production orders and other internal documents as requested
Maintain strict confidentiality guidelines regarding all clients, conversations and referrals.
To carry out responsibilities with clear regard to Serenity Safe Sanctuary Equal Opportunities, Health and Safety, and other relevant employee focused policies and procedures.

Requirements

Proven office experience or administrative experience in a professional setting
Strong computer skills including proficiency in Microsoft Office (Word, Excel, PowerPoint), Google Workspace, and QuickBooks
Excellent organisational skills with the ability to prioritise tasks effectively
Competent typing skills for data entry and document preparation
Good communication skills with professional phone etiquette
Attention to detail and accuracy in all tasks undertaken
Ability to work independently as well as part of a team
Previous clerical experience is desirable but not essential; training will be provided for specific software tools
· Proven administrative experience is Desired but not essential

· Superb written and verbal communication skills

· Strong time-management skills and multitasking ability

· Proficient in Microsoft Office, with aptitude to learn new software and systems

· Solid interpersonal skills
