Full job description

As a Receptionist, you are the heart of our practices. As well as working side by side with all practice team members you also speak to everyone who visits your practice. This is a huge responsibility to make sure everyone who leaves the building leaves with a good impression of their visit. A Rodericks Receptionist takes responsibility for any concerns with the approach of resolving these at the desk, meeting the patient’s expectations. Receptionists will triage emergency patients to make sure these valuable slots are used for the right reasons.

They are responsible for managing the diary, looking ahead to fill any white space, making sure cancelations are re-booked, FTA’s are kept at a minimum and appointments are scheduled with the business targets in mind. They have a key role to play in the patient journey starting from before our patients step foot in the practice!

So……

Can you spot how people are feeling? Would you notice if a patient was nervous, confused, worried? Receptionists know how to spot these feelings in their patients and understand how to put them ease, talking to them in a language they will understand.

Are you good at building relationships? Receptionists need to build relationships with all other roles in the practice. Passing on information, helping them problem solve, and keeping them up to date with anything that happens in the practice. In simple terms support the Practice manager to co-ordinate the practice

And finally can you multi task? Receptionists need to manage their day to make sure the patient be it on the phone or at the desk takes priority as well as meeting all their other KPI’s.

What Success looks like:

Patient Journey

· Each patient is greeted with a smile, a welcome and given eye contact

· I ensure contact details are up to date with our patients and we are always compliant with GDPR regulations

· I try to understand how the patient is feeling about their appointment to best support them

· I review the documents provided after an appointment to best understand the patients’ needs and next steps before offering additional information about supporting products or services available in the practice

· I work together with my fellow Receptionists to make sure the patients and practice team receive a consistent service

· Where possible I will be the first point of call for any concerns with the view to resolve these before they escalate to a complaint

Practice Organisation

· Manage the appointment bookings to add the most impact to UDA performance

· Work with the PM to understand the clinicians targets each week and best determine their week ahead

· Ensure White Space, FTA’s and Recalls are managed well working together as a team to complete daily and/or weekly targets

· I own the responsibility of communicating with all roles within the practice to ensure they have the information they need from me to complete their functions

· I check if the clinicians have set times for emergencies or private only appointments each week to maximize performance

· I take ownership of my own development to ensure I have advanced knowledge of the software to enable me to manage the diary

· I will support the practice manager in maintaining an efficiently and effectively run practice

· Triage emergency patients to ensure these slots are given to the most needed?

· Banking errors are always aimed at 0 with the team making every effort to minimize these

· I keep my own knowledge of the practice and its services up to date as well as any changes in legislation relevant to the industry

· Days- Monday, Tuesday and Friday.

Pay: £12.71 per hour
