Full job description

Job Summary

Clarkwell & Co is a professional and growing accountancy practice based in Islington, London. We are looking for an experienced, confident and highly organised Office Administrator / Receptionist & Personal Assistant to the Director to join our team.

The successful candidate should have at least 2 years' previous experience working within an accountancy practice or similar professional environment and preferably have an accountancy or finance background.

This is an important client-facing role. You will often be the first point of contact for our clients, whether in person, by telephone or by email. You will also work closely with the Director, providing day-to-day personal assistance, diary management, administrative support and helping ensure that important client and office matters are followed up promptly.

We are looking for someone who is professional, presentable, proactive, organised and an excellent communicator.

Key Responsibilities

Greet clients and visitors professionally and provide a warm and welcoming first impression.
Answer incoming telephone calls and deal with client enquiries confidently and professionally.
Monitor office emails and ensure enquiries are passed to the appropriate team member.
Arrange client appointments, meetings, telephone calls and online meetings.
Act as a Personal Assistant to the Director, providing day-to-day administrative and organisational support.
Manage the Director's diary, appointments, meetings and reminders.
Assist the Director with client follow-ups, correspondence and outstanding actions.
Help prioritise important tasks, deadlines and client matters.
Draft and prepare professional emails, letters and general correspondence.
Manage incoming and outgoing post, including correspondence from HMRC and Companies House.
Scan, save and organise client documents accurately within the firm's systems.
Assist with new client onboarding and ensure required documents and information are obtained.
Maintain and update accurate client records.
Follow up with clients for outstanding information and documents.
Assist the accounting team with general administrative and clerical work.
Maintain organised electronic and physical filing systems.
Assist with Companies House, HMRC and general accountancy administration where required.
Keep the reception, meeting room and general office areas organised and presentable.
Order stationery and maintain appropriate levels of office supplies.
Maintain strict confidentiality when handling client, financial and personal information.
Support the Director and wider team with the smooth day-to-day running of the office.

Essential Requirements

Minimum two years' previous experience in an administrative, receptionist, Personal Assistant or similar role.
Previous experience working within an accountancy firm or accountancy practice is required.
Accountancy, bookkeeping, finance or business administration background is highly desirable.
Good understanding of how an accountancy practice operates and the importance of client deadlines.
Excellent verbal and written communication skills.
Excellent spoken and written English.
Confident, polite and professional telephone manner.
Ability to communicate effectively with clients, accountants, HMRC, Companies House and other third parties.
Strong organisational and time-management skills.
Excellent attention to detail and accuracy.
Ability to manage several tasks and deadlines simultaneously.
Good working knowledge of Microsoft Word, Excel, Outlook and general office software.
Confident using email systems, scanners, printers and electronic document-management systems.
Ability to draft clear and professional client correspondence.
Reliable, punctual and professional.
Ability to work independently and take responsibility for assigned tasks.
Ability to maintain confidentiality and exercise discretion when dealing with sensitive information.

Pay: £25,420.00-£40,112.60 per year
