Who we are:
Blackpool Football Club is an English Professional Association Football Club based in the seaside town of Blackpool, Lancashire.
The Club was founded in 1887 and has a very storied history, from being a founding member of the Lancashire League in 1889, rising to the Top-Flight of the Football League (the old First Division) in 1930, to winning the FA Cup in 1953 and being promoted to the Premier League in 2010 (becoming the first Club to gain promotion from every division of the Football League via the play-off system).
The Club currently competes in League One, the third tier of the English Football League.
The Club has played its home games at Bloomfield Road since 1901.
Job Purpose:
Reporting to the Head of Venue Sales, the Hospitality & Events Coordinator is responsible for coordinating the planning and administration of the Club's hospitality, conference and events programme, ensuring every booking is managed professionally from initial enquiry through to successful delivery.
The postholder will act as the primary point of contact for hospitality and event clients, coordinating bookings, preparing event documentation, supporting matchday hospitality operations and ensuring all customer requirements are communicated effectively to operational departments.
Working closely with the Head of Venue Sales and Food & Beverage Manager, the Hospitality & Events Coordinator will help deliver exceptional customer experiences across both matchday and non-matchday events whilst supporting the achievement of the Club's commercial objectives.
The role requires excellent organisational skills, strong attention to detail and the ability to manage multiple bookings and priorities within a fast-paced professional football environment.
Key Responsibilities and Duties:
Hospitality Sales & Booking Administration
- Coordinate all hospitality enquiries, bookings and reservations across the Club's hospitality offerings, including executive boxes, lounges and premium matchday experiences.
- Act as the first point of contact for hospitality customers, responding promptly and professionally to telephone, email and online enquiries.
- Support the Head of Venue Sales by preparing quotations, proposals, booking confirmations and hospitality packages.
- Maintain accurate booking records, CRM information and customer data using the Club's booking systems.
- Prepare hospitality documentation including itineraries, menus, guest information, tickets, parking passes and event schedules.
- Monitor booking deadlines, payment status and customer requirements, ensuring all information is communicated accurately to operational departments.
- Produce booking reports, occupancy updates and administrative information to support forecasting and financial reconciliation.
Conference & Events Coordination
- Coordinate the planning and administration of all non-matchday conferences, meetings, private events, celebrations, exhibitions and corporate functions across the Club's venue spaces.
- Support the Head of Venue Sales in delivering the Club's commercial strategy for conferences and events by ensuring enquiries are progressed efficiently from initial enquiry through to successful delivery.
- Act as the main point of contact for clients throughout the planning process, confirming event requirements, room layouts, catering, timings, IT requirements and guest numbers.
- Prepare detailed event function sheets and operational briefs, ensuring Food & Beverage, Facilities and all operational departments receive accurate information in advance of each event
- Work closely with the Food & Beverage Manager to ensure all catering, staffing and operational arrangements are communicated effectively to support seamless event delivery.
- Coordinate amendments to bookings, communicate changes promptly and ensure all event documentation remains accurate and up to date.
- Support the Head of Venue Sales with venue show-rounds, client meetings and follow-up activity, helping to maximise repeat business and customer satisfaction.
Matchday Hospitality Coordination
- Coordinate the administration and operational delivery of the Club's matchday hospitality programme across executive boxes, lounges and premium hospitality areas.
- Work collaboratively with the Head of Venue Sales to support the commercial strategy for matchday hospitality, helping ensure hospitality products remain attractive, competitive and commercially successful.
- Support the administration and coordination of executive boxes, sponsorship-linked hospitality packages, seasonal memberships and premium experiences.
- Coordinate guest lists, seating plans, dietary requirements, parking passes, tickets, menus and hospitality packs, ensuring all customer information is accurate and complete.
- Work closely with the Food & Beverage Manager to communicate guest numbers, timings, dietary requirements and operational information to ensure hospitality services are delivered to the highest standard.
- Assist with the preparation of hospitality areas prior to each fixture, ensuring all operational arrangements are in place.
- Provide operational support on matchdays by welcoming guests, responding to customer enquiries and resolving issues promptly and professionally.
- Monitor hospitality operations throughout matchdays, identifying any service issues and communicating effectively with operational teams.
- Gather customer feedback following fixtures and communicate opportunities for continuous improvement to the Head of Venue Sales and Food & Beverage Manager.
Customer Experience
- Deliver an exceptional customer experience from initial enquiry through to post-event follow-up, acting as a professional and knowledgeable ambassador for the Club.
- Build and maintain positive working relationships with corporate clients, supporters, sponsors, suppliers and internal departments.
- Ensure all enquiries are handled promptly, professionally and in accordance with the Club's customer service standards.
- Proactively communicate with customers throughout the booking process, ensuring expectations are managed and requirements are fulfilled.
- Resolve customer queries and complaints professionally, escalating issues where appropriate.
- Identify opportunities to enhance the customer journey, improve service delivery and encourage repeat business.
- Share customer feedback and service improvement opportunities with the Head of Venue Sales and Food & Beverage Manager to support continuous improvement across hospitality and events.
Administration & Financial Support
- Raise invoices, purchase orders and hospitality documentation where required.
- Monitor hospitality payments and liaise with Finance regarding outstanding balances.
- Reconcile matchday hospitality numbers with catering providers and Finance.
- Produce regular reports relating to bookings, attendance and hospitality performance.
- Maintain accurate filing systems and customer records.
General Responsibilities
- Work collaboratively with the Head of Venue Sales, Food & Beverage Manager and wider Club departments to support successful event delivery.
- Promote a professional image of Blackpool Football Club at all times.
