About the Role

We are looking for a friendly, professional and organised Customer Service / Reception / Administration Assistant to join our busy car dealership.

You will be the first point of contact for customers, both in person and by telephone, helping to create a welcoming and professional experience from the moment they arrive. The role combines customer service, reception and general administration, making it ideal for someone who enjoys working with people and is comfortable managing a variety of tasks in a fast-paced environment.

Key Responsibilities

Welcome customers and visitors to the dealership in a friendly and professional manner.
Answer incoming telephone calls, emails and customer enquiries.
Direct customers to the appropriate sales, service or management team member.
Schedule and manage appointments for customers.
Handle general administrative duties, including filing, data entry and updating customer records.
Process paperwork and assist with vehicle sales and service administration.
Contact customers regarding appointments, collections, vehicle updates and general enquiries.
Maintain accurate customer and vehicle information on dealership systems.
Support the sales and aftersales teams with day-to-day administration.
Take messages and ensure customer enquiries are followed up promptly.
Maintain a clean, organised and professional reception area.
Provide excellent customer service and help resolve straightforward customer queries.
Carry out other reasonable administrative and reception duties as required.

About You

We are looking for someone who is:

Friendly, approachable and confident when dealing with customers.
Professional and well-presented.
Highly organised with excellent attention to detail.
Comfortable answering phones and communicating with customers face-to-face.
Able to multitask and prioritise work in a busy environment.
Reliable, punctual and able to work as part of a team.
Confident using computers, email and Microsoft Office or similar systems.
A clear and professional communicator.
Customer-focused and committed to providing a high standard of service.

Previous experience in reception, customer service, administration or the automotive industry would be an advantage, but full training can be provided for the right candidate.
