Full job description

Overview

We are seeking a highly organised and proactive Administrative Assistant to join our team. This role offers an excellent opportunity for individuals with office experience and strong computer skills to contribute to the smooth operation of our organisation. The successful candidate will be responsible for providing administrative support across various departments, ensuring efficient workflow and effective communication. This position is paid and ideal for those looking to develop their administrative expertise within a professional environment.

Duties

Manage and maintain filing systems, both physical and digital, ensuring easy retrieval of documents
Handle incoming calls with professionalism, demonstrating excellent phone etiquette
Assist with data entry tasks using programmes such as Microsoft Office, Google Workspace, and QuickBooks
Prepare correspondence, reports, and presentations as required
Schedule appointments, meetings, and coordinate calendars for team members
Support invoicing and financial record keeping through accurate data entry and clerical work
Organise office supplies and ensure the workspace remains tidy and functional
Collaborate with team members to streamline administrative processes and improve overall efficiency

Qualifications

Proven office experience or administrative experience is preferred
Strong computer skills, including proficiency in Microsoft Office (Word, Excel, PowerPoint) and Google Workspace tools
Experience with QuickBooks or similar accounting software is advantageous
Excellent organisational skills with the ability to prioritise tasks effectively
Fast and accurate typing skills with attention to detail
Good communication skills, both written and verbal, demonstrating professional phone etiquette
Demonstrated ability to handle data entry accurately in a fast-paced environment
Ability to work independently as well as part of a team in a professional setting
