As the Group continues to grow, we are looking for an organised and ambitious Accounts & Finance Assistant to join our in-house finance function.
The Role
Reporting directly to the Finance Director, you will help maintain accurate and up-to-date financial records across the Greenwood Capital group.
The role combines transactional accounting, finance administration and internal data management with the opportunity to gain exposure to management reporting, budgeting, forecasting and financial analysis.
A key part of the position will be ensuring that the data held within QuickBooks and our internal CRM is complete, accurate and reconciled.
Key Responsibilities
Purchasing, Invoices & Expenses
- Process purchase invoices and expenses through Dext and QuickBooks.
- Manage employee expense claims, ensuring they are appropriately supported, approved, coded and processed.
- Review and accurately code expenditure to the appropriate accounts, departments and classes.
- Coordinate day-to-day purchasing on behalf of the business, including office supplies and other operational requirements.
- Monitor stock and supply requirements to ensure the business has the equipment and supplies needed for day-to-day operations.
- Liaise with suppliers, place orders and maintain accurate purchasing records.
- Maintain supporting documentation and assist with supplier reconciliations and payment preparation.
Sales Invoicing & Reconciliations
- Prepare, raise and issue sales invoices and process remittance information.
- Create and post relevant invoices and journal entries within QuickBooks.
- Reconcile sales, income and customer information between QuickBooks, bank transactions and the internal CRM.
- Investigate and resolve discrepancies and customer account queries.
Finance Systems & Administration
- Maintain accurate and up-to-date financial data across QuickBooks and the internal CRM.
- Manage the shared accounts email inbox and respond to finance-related queries.
- Ensure financial records, documentation and system data are complete, accurate and consistent.
- Work with the wider team to resolve missing or incorrect information.
Group Finance & Reconciliations
- Provide day-to-day finance support across the Greenwood Capital group of companies.
- Assist with intercompany transactions and reconciliations.
- Support general ledger administration and maintain accurate records across the Group.
- Work with other departments to resolve finance and system-related queries.
Payroll & Month-End Support
- Assist the Finance Director with the preparation of monthly payroll, including starters, leavers, commissions and other payroll inputs.
- Support month-end processes and account reconciliations.
Reporting, Budgets & Forecasting
- Extract financial and operational data from QuickBooks and internal systems.
- Use Excel to organise, reconcile and prepare data for analysis by the Finance Director.
- Assist with the preparation of management information and financial reports.
- Support the preparation and maintenance of budgets and forecasts.
- Assist with variance analysis, ad-hoc finance projects and process improvements.
- Take on additional finance responsibilities as your experience develops and the Group continues to grow.
About You
We are looking for someone who is accurate, organised and comfortable working with both financial data and technology.
You should enjoy working with numbers and systems, take pride in keeping records accurate and up to date, and be comfortable taking responsibility for routine finance processes.
Just as importantly, we're looking for someone who is keen to develop their accounting knowledge, understand the bigger picture behind the numbers and take on greater responsibility as they progress.
Essential
- Strong attention to detail and a high level of accuracy.
- Good understanding of basic accounting principles.
- Proficient in Microsoft Office, particularly Excel.
- Comfortable working with financial and operational data.
- Confident using accounting and business software.
- Excellent organisational and time-management skills.
- Able to manage multiple tasks and deadlines.
- Strong written and verbal communication skills.
- Proactive approach to identifying and resolving discrepancies.
- Willingness to learn and develop within the role.
Desirable
- Previous experience within an accounts, bookkeeping or finance administration role.
- Experience using QuickBooks Online.
- Experience using Dext.
- Experience processing purchase invoices and expenses.
- Experience raising sales invoices and processing remittances.
- Experience with bank and account reconciliations.
- Experience working with CRM or bespoke internal systems.
- AAT qualified, studying towards AAT, or interested in beginning an accounting qualification.
Previous experience within commercial finance or financial services would be useful but is not essential.
