Job Summary

We are seeking an organised and detail-oriented Administrative Assistant to join our team! In this vital role, you will be the backbone of our daily operations, ensuring smooth and efficient office functions. Your enthusiastic approach and organizational skills will support various administrative tasks, coordinate communications, and help maintain a productive work environment. This paid position offers an exciting opportunity to develop your skills while contributing to a thriving organization.

Responsibilities

Manage incoming calls with professionalism and courtesy, directing inquiries to the appropriate departments
Perform data entry tasks accurately using Microsoft Office, Google Workspace, and our waste system Waste Logics to maintain organized records, assist in drivers daily routes and solve invoice queries
Assist with scheduling appointments, skips routes, meetings, and calendar management for the managing director
Prepare and organize documents, reports, and correspondence with attention to detail
Support invoicing, billing, and expense tracking through QuickBooks or similar accounting software
Maintain office supplies inventory and coordinate procurement as needed
Handle clerical duties such as filing, photocopying, scanning, and mailing

Qualifications

Proven office experience demonstrating strong organizational skills and multitasking abilities
Proficient computer skills including Microsoft Office Suite (Word, Excel, PowerPoint), Google Workspace (Gmail, Drive), and basic data entry techniques
Excellent phone etiquette with the ability to communicate clearly and professionally
Strong typing skills ensuring quick and accurate data input
Knowledge of QuickBooks or similar accounting software is a plus
Ability to prioritize tasks efficiently in a fast-paced environment
