Full job description

NHS Greater Glasgow and Clyde (NHSGGC) is one of the largest healthcare systems in the United Kingdom, employing approximately 40,000 staff across a wide range of clinical and non-clinical professions and roles. We deliver acute hospital, primary, community and mental health services to a population of over 1.15 million people, and to a wider population of 2.2 million when regional and national services are included.

The role:

We are looking for a proactive and organised Theatre Administrative Assistant to join our dedicated teams within the theatre and recovery suites at Gartnavel General Hospital. This is a fantastic opportunity to contribute to patient care by supporting our nursing teams and multidisciplinary colleagues behind the scenes. Working within NHS Greater Glasgow and Clyde, you will be part of one of the largest health boards in the UK, committed to delivering high-quality, patient-centred care. This varied and fast-paced role offers the chance to develop your administrative skills in a dynamic clinical environment. Band 2 roles are not eligible for sponsorship under the Skilled Worker or Health and Care Worker visa routes.

All other roles will be assessed for sponsorship eligibility in line with current Home Office requirements. NHS Greater Glasgow and Clyde (NHSGGC) can only issue a Certificate of Sponsorship (CoS) where these are met.

Duration, Location, and Working Pattern:

Full Time, Permanent

Base Location: Gartnavel General Hospital

Shift Pattern: Monday to Friday (07:00 14:12 or 08:00 15:12)

Key responsibilities:

Provide comprehensive administrative and clerical support to nursing teams within theatres and recovery
Maintain accurate staff records, including inputting data and running reports on internal systems
Manage and update staff rotas, allocation sheets, and absence records, ensuring accuracy at all times
Communicate effectively with a wide range of staff, including nurses, surgeons, anaesthetists, and administrative teams
Respond to telephone and email enquiries, prioritising requests and directing information appropriately
Order and monitor departmental stationery and ensure efficient use of resources
Support general office duties, including filing, photocopying, and handling internal and external mail

Knowledge, training, qualifications and/or experience required to do the job:

Relevant administrative qualification or equivalent experience in a busy office environment
Strong organisational, communication, and time management skills with the ability to prioritise workload
Experience using Microsoft Office packages, including Word, Excel, and Outlook
Ability to work independently using initiative while contributing effectively as part of a wider team
Good keyboard skills and confidence using electronic systems for data input and reporting
Understanding of data protection, confidentiality, and the importance of handling sensitive information appropriately
Ability to work effectively in a fast-paced, sometimes pressurised environment while maintaining professionalism
